JOB OVERVIEW

Join The Collaborative Co. - a fast-growing boutique Virtual Assistant agency supporting small businesses, solo entrepreneurs, and service providers across Australia.

We are looking for a General/Operations Admin Assistant to support our client in the manufacturing and marine industry. This is a varied, ownership-focused role suited to someone proactive, organised, and comfortable working independently. You will support operational, administrative, and marketing-related tasks while helping build systems and processes as the business grows.

In the first 30 days, you will focus on setting up PandaDoc workflows while supporting a CRM setup in parallel. You will work closely with the business owner and an external contractor to help build efficient, scalable systems. This role is ideal for someone who enjoys taking initiative, building processes, and supporting business operations long-term.

Key Responsibilities

Operations & Systems
Set up and maintain PandaDoc workflows including branding, catalogue, and pricing
Manage quote-to-invoice workflow
Support CRM setup and maintain email templates
Build and maintain centralized digital filing system for orders and invoices
Create and maintain organized documentation across brands

Finance & Reporting
Update product costs in Xero
Cross-check invoices for accuracy
Generate reports as requested
Produce weekly dealer status reports
Review monthly floorplan invoices and cross-check against records

Marketing & Content Support
Plan social media content calendar across multiple brands
Edit spec sheets and branded materials in Canva
Assist with social media planning (posting handled by business owner initially)

Website & E-Commerce Support
Maintain Shopify online store
Handle basic website updates across platforms
Support general website maintenance

Photo & File Management
Organize and categorize photo library
Maintain structured file management system

Future Projects
Dealer portal setup for ordering and tracking
SOP creation across business operations
Process improvement initiatives

Qualifications and Skills
- Minimum 2 to 3 years Virtual Assistant or relevant experience
- Strong organisational and attention to detail skills
- Proactive and solutions-focused mindset
- Comfortable working with minimal SOPs initially
- Ability to learn quickly and work independently
- Strong written communication skills
- Honest, reliable, and transparent communicator
- Industry experience is not required. A willingness to learn and grow is highly valued
