JOB OVERVIEW

This role exists to turn conversations into execution. You will sit in coaching calls, track commitments, and make sure what gets said actually gets done. From managing CRM and organizing systems to pulling content from calls and supporting social media, you are the force behind the scenes ensuring everything runs smoothly, shows up consistently, and nothing gets missed.

Core Responsibilities

1. Coaching Call Support (Core Function)
Attend coaching calls and capture key takeaways
Track client commitments + coach promises
Turn conversations into clear action items
Organize and send post-call summaries
Track deadlines and follow-ups

2. Client Accountability & Experience
Ensure all promises and deliverables are completed
Send follow-ups, reminders, and resources
Track client progress and engagement
Build a high-touch client experience

3. CRM Management (Zoho + Command)
Log all calls in Zoho CRM
Maintain and update records in Keller Williams Command as needed
Track touchpoints, notes, and client activity
Maintain clean, structured, and accurate databases across both systems
Ensure consistency between platforms

4. Email & Calendar Management
Organize inbox (folders, labels, prioritization)
Draft and respond to emails when appropriate
Flag urgent items and protect focus time
Support calendar coordination and scheduling

5. Google Drive & Systems Organization
Organize Google Drive (folders, naming conventions, access)
Maintain clean and consistent file systems
Create and update SOPs, templates, and documents
Ensure everything is easy to find and scalable

6. Client Milestones & Relationship Tracking
Build and maintain:
Client birthdays
Coaching anniversaries
Keller Williams anniversaries
Track milestones inside CRM and/or calendar systems
Trigger reminders, messages, or gifts
Help create a “never miss a ---------- nt” client experience

7. Social Media Support
Assist with posting and scheduling content
Pull content ideas from coaching calls
Organize content calendar
Light editing using Canva or CapCut
