JOB OVERVIEW

Who Am I: I am a seasoned real estate agent in Los Angeles California.
About the Role:
Real estate CRM Specialist. This is a part-time position with the potential to be full-time designed to build a professional follow-up infrastructure from the ground up while offloading time-consuming admin tasks.
Primary Responsibilities
Follow-Up Boss Mastery (Core) Must have experience in FUB or any other optimal Real Estate CRM software.
Manage, optimize, and train on Follow-up Boss workflows, automation rules, and lead routing strategies tailored to our existing client pool
Set up and monitor email drip campaigns, action plans, and multi-channel follow-up sequences
Streamline lead prioritization and client engagement systems to maximize conversion within current database
Generate monthly performance reports and provide actionable optimization recommendations
Serve as the expert guide as the team scales follow-up processes

CRM & Pipeline Management
Daily lead intake, qualification, and assignment within Follow-up Boss
Monitor and manage all inbound and outbound communications (calls, emails, texts)
Track pipeline health, follow-up completion rates, and client status updates
Maintain accurate contact records, property details, and transaction notes
Ensure no client falls through the cracks by enforcing follow-up timelines and accountability

Administrative & Email Management
Monitor and respond to incoming emails with professionalism and urgency
Schedule appointments, manage calendars, and coordinate client communications
Handle vendor communications, invoicing queries, and general business correspondence
Organize documentation and ensure consistent filing in Follow-up Boss and shared systems

Real Estate Research
Conduct property, title, and public records research
Gather vendor information, contractor details, and market comparables
Support market analysis and due diligence for transactions and listings
Use all available tools and resources (public databases, AI tools, MLS data) as needed

Required Qualifications
demonstrated Follow-up Boss expertise in a real estate environment
Proven ability to configure, optimize, and train others on Follow-up Boss workflows
Comfort with real estate terminology, transaction cycles, and market research
Self-directed and able to work independently in a part-time capacity

Success Metrics & KPIs
The ideal candidate will achieve these measurable outcomes within the first 30 days and maintain them ongoing:
Follow up boss account is fully optimized within the first 30 days.
Lead Response Time: All inbound client inquiries responded to within 30 minutes on the same day via Follow-up Boss
Follow-up Completion Rate: 90 percent or higher monthly completion of scheduled follow-up actions within your existing client pool
Client Aging Prevention: Zero clients aging beyond established touchpoint intervals without documented contact
Follow-up Boss Optimization: Monthly written recommendations for workflow improvements, automation enhancements, and system refinements

Email
Management: 95 percent of non-urgent emails responded to within 4 business hours; urgent matters flagged and escalated immediately
Research Turnaround: Vendor research, title research, and public records deliverables completed within 2 business days of request
