We are expanding and are seeking a Virtual Intake Coordinator to support our growing demand and ensure a smooth, professional experience for all new clients.
About the Role
This is a remote, full-time role focused on managing new client enquiries, converting them into bookings, and ensuring all intake processes are completed accurately and efficiently.
This is not a passive admin role — you will be responsible for actively following up enquiries and driving bookings.
Key Responsibilities:
Respond to all new client enquiries
Convert enquiries into booked appointments
Follow up unbooked enquiries (minimum 2–3 follow-ups)
Schedule appointments based on clinician availability
Send intake forms and track completion
Maintain accurate and up-to-date client records in the CRM
Communicate with internal tea
Monitor and manage enquiry pipeline from first contact to service commencement
Provide weekly reporting on:
- Number of enquiries
- Bookings made
- Conversion rates
- Follow-up status
