JOB OVERVIEW

We are looking to hire a VA for the role below. The role would be expected to be a full-time role, with a budget of $4/hour.

Also, ideally the role is spread over an entire week, with reduced workloads in weekends - only to handle some emergencies or follow ups. The timezone would follow the Malta timezone. For example:


Mon-Fri: 10am - 6pm (with 1 hour break daily) - 35 hours
Sat: 4 hours: 10am - 2pm
Sun: 2 hours


Role Description

The Issue Coordinator is a specialized role focused on streamlining property maintenance, emergency response, and issue resolution. The primary objective is to resolve property-related issues efficiently while maintaining a comprehensive knowledge base for the entire team on the properties, and efficient communication with the property owner.
Primary Responsibilities:

Issue Coordination: Manage the full lifecycle of property issues, including damage claims and owner status updates.

System Management: Monitor and close tasks/tickets in Breezeway and Zoho Desk. Ensure all updates are logged in our Internal Portal and Beds24.

Knowledge Management: For every closed ticket, update Property Asset Sheets, Inventory Lists, and Property Info Documents to prevent future escalations.

Cleaning Coordination: Act as the primary owner for specific cleaning company WhatsApp groups; convert reported issues into formal tickets via the official Escalation Form, or using Breezeway

Communication with Clients & Property Owners: This is done both via text/email, and calls. Owners must be kept up-to-date all along the way on what is happening with issues

The primary responsibilities can change from time to time, based on the requirements of the business.

The On-Call System (24/7 Coverage):
This role operates on a Primary/Secondary Roster to ensure round-the-clock emergency support.

Primary: Must be fully available for emergencies during assigned shifts.

Secondary: Acts strictly as an emergency backup.

Accountability: Reliability is critical. Failure to fulfill Primary duties is a severe breach of role.

Duty Swaps: Coordination of shift switches is the responsibility of the staff members.

Candidate Requirements:

Proficiency in Breezeway, Zoho Desk, Clickup, and Beds24 (or similar PMS) is a big plus.

Familiarity with OTAs like Airbnb, ---------- and Expedia

Prior experience in property management or similar roles is a plus as well

Exceptional communication and "ownership" mindset.

Good fluency of English, written and spoken - with a neutral, easy-to-understand accent.
