Patient Care, Operations & Content Support Virtual Assistant

About the Role
Apex Men’s Wellness is seeking a highly organized, proactive, and detail-oriented Virtual Assistant to support patient coordination, lead follow-up and scheduling, manage CRM, and execute content.
This is not a basic admin role — you will play a key role in improving lead conversion, patient experience, and daily operations.
We are a fast-growing, founder-led business, so we need someone reliable, responsive, and able to take initiative without constant supervision.
Key Responsibilities
1. Lead Management & Patient Intake
Respond to new inquiries (calls, texts,
Follow up with warm leads and missed opportunities
Assist patients in booking appointments
Ensure forms and intake requirements are completed
Help move leads from inquiry ? booked consultation
2. Scheduling & Calendar Management
Manage and optimize the provider calendar
Schedule consultations and follow-ups
Send confirmations, reminders, and reschedules
Reduce no-shows and scheduling gaps
3. Patient Communication
Answer inbound calls and return missed calls
Respond to inquiries professionally and promptly
Ensure no leads or patients are missed
4. CRM & Workflow Management
Update CRM with notes, tags, and follow-ups
Track lead stages and pipeline
Maintain clean and organized records
Support automation and follow-up workflows
5. Administrative & Operations Support
Organize files, documents, and systems
Track tasks, deadlines, and priorities
Assist in improving internal workflows
Take notes and manage action items
6. Social Media & Content Support
Schedule and post content (IG, FB, TikTok, LinkedIn)
Repurpose content into captions, reels, and posts
Organize content calendar and assets
Monitor comments and messages
Assist with AI content tools when needed

Requirements
Must-Have
Proven experience as a Virtual Assistant or similar role
Strong English communication skills (written & verbal)
Experience with scheduling and calendar management
Experience using CRM systems
Highly organized and detail-oriented
Ability to work independently and follow through
Preferred (Big Advantage)
Experience with GoHighLevel (GHL)
Healthcare, wellness, or service-based business background
Lead conversion/appointment setting experience
Social media scheduling & content repurposing
Familiarity with tools like Canva, CapCut, ChatGPT, etc.
Experience supporting a founder or fast-paced business
