Admin & Recruitment Support Specialist
Full-Time | Remote | Australian Recruitment Company
We are an Australian-based BPO, seeking an experienced Admin and Recruitment Support specialist for our client, an Australian recruitment company. This full time (FT) role is 40 hours per week, during Australian business hours 9am-5pm AEST. Offering the flexibility of working-from-home (WFH) and a market leading salary package + paid leave + bonuses.
This is a fast-paced, multi-functional role supporting administration, recruitment, marketing, and compliance. We’re looking for someone highly organized, proactive, reliable, and confident working across multiple systems and stakeholders.
*****Key Responsibilities Include*****
General Administration
• Manage LinkedIn activity for a senior tea
• Respond to daily internal admin queries
• Answer incoming calls via Aircall
• Take minutes in weekly company meetings
• Track internal events (EOFY awards, birthdays, anniversaries, team recognition)
• Raise and follow up system tickets (Bullhorn / Astute)
• Support internal requests (employment letters, account confirmations, super follow-ups)
• Attend tea
Recruitment Admin & Compliance
• Format candidate CVs using ReMake
• Conduct reference checks (phone + Referoo)
• Complete VEVO checks and validate visa information in Astute
• Maintain and update candidate records in Bullhorn (BH)
• Manage onboarding support and troubleshooting
• Handle time-sensitive onboarding queries
• Send and update Confirmation of Assignment details
• Track compliance items (police checks, references, NUR forms)
• Manage job ad postings and updates
• Maintain Care Team inbox and candidate communication
• Support temp placement approvals and documentation
• Prepare employment verification letters
Marketing Support
• Send new starter “get to know you” communications
• Create basic graphics using Canva
• Assist with presentations
• Manage testimonials and website updates
• Support internal campaigns (e.g. Life Saver of the Month)
• Prepare welcome packs for new starters
Reporting, Compliance & Analytics
• Prepare monthly compliance and placement reports
• Generate reports from Astute and Bullhorn Analytics
• Track team and individual targets
• Produce client and internal performance reports
• Support compliance tracking and approvals
• Assist with data accuracy and system integrations

***** Key Requirements Include ***** MUST HAVES to apply
• At least 2 years previous experience in recruitment admin, HR admin, or high-volume admin support.
• At least 2 years previous experience with compliance and onboarding for recruitment.
• High level of proficiency with LinkedIN/ LinkedIN Recruiter.
• High level of proficiency with Bullhorn. ATS and CRM.
• Previous experience working with international clients, AUS, US or UK.
• Strong attention to detail and organizational skills
• Excellent written and spoken English.
• Confidence speaking to clients and candidates over the phone.
• Ability to manage multiple tasks and deadlines
• Comfortable working across multiple systems
IDEAL CANDIDATES have
• Previous experience in an Australian recruitment agency environment
• Familiarity with Astute
