Administrative & Personal Assistant (Real Estate Team)

We are seeking a highly motivated, detail-oriented Administrative & Personal Assistant who thrives in a fast-paced environment and can serve as the backbone of daily operations. This role is critical to maintaining seamless communication with leads, managing schedules, and ensuring no opportunity is missed.

Key Responsibilities
• Proactively manage and respond to all incoming leads (calls, texts, emails, and CRM inquiries)
• Conduct outbound calls to new and existing leads to qualify prospects and nurture relationships
• Schedule and confirm appointments for property showings, consultations, and meetings
• Maintain and organize the agent’s personal and professional calendar, ensuring efficiency and no scheduling conflicts
• Follow up consistently with leads to increase conversion and client engagement
• Assist with administrative tasks such as data entry, document organization, and CRM updates
• Coordinate communication between clients, agents, lenders, and other parties involved in transactions
• Anticipate needs and provide high-level executive support

Qualifications
• Proven experience in real estate administration, executive assistance, or high-volume customer service
• Strong communication skills with confidence in making and handling calls
• Experience using CRM systems (real estate platforms preferred)
• Exceptional organizational and time-management skills
• Ability to multitask and prioritize in a fast-paced, deadline-driven environment
• High level of professionalism, discretion, and reliability
• A self-starter mindset with the ability to work independently and take initiative
