Strategic Purpose of the Role
This is not a generic VA role.
You are here to increase the capacity and efficiency of a fast-growing property business.
Your role is to remove admin bottlenecks from the lettings team so they can focus on:
Landlord relationships
Tenant experience
Portfolio growth
You will be working inside a structured system and are expected to operate with accuracy, speed, and initiative.
Core Responsibilities
1. CRM & Data Management (GoHighLevel)
Input and maintain accurate property, landlord, and tenant data in GHL
Update deal stages and pipelines in real time
Tag and segment contacts correctly
Ensure all records are clean, complete, and up to date
2. Lettings Admin Support (Alto Software)
Manage and update tenancy records within Alto
Upload and organise tenancy documents
Assist with onboarding landlords and tenants
Support tenancy progression (applications, referencing, agreements)
Ensure compliance documents are stored and tracked correctly
3. Document & File Management (Google Drive)
Organise property files, tenancy agreements, and compliance documents
Maintain a clean, structured folder system
Ensure documents are named and stored consistently
Upload and manage files across systems
4. Process & Workflow Support
Follow existing SOPs for lettings processes
Assist in tracking key stages of the letting journey
Flag delays, missing information, or issues proactively
Support the team in keeping deals moving forward
5. General Admin
Data entry and spreadsheet updates
Preparing simple reports when required
Supporting the team with day-to-day admin tasks
Required Skills & Experience
Essential
Proven experience as a Virtual Assistant in property or lettings
Hands-on experience using Alto CRM/software
Experience using GoHighLevel (GHL) or similar CRM
Strong experience with Google Drive and Google Workspace
High attention to detail with strong organisational skills
Excellent written English
Desirable
Experience in UK or Northern Ireland lettings/property market
Understanding of tenancy processes and compliance requirements
Experience supporting fast-paced teams
