We are seeking a Commercial Real Estate Virtual Assistant to support sales, leasing, and property management administration for a boutique industrial and commercial agency based in Melbourne’s South-East.
This role is suited for someone with commercial real estate administration experience, who is confident managing listings, campaign processes, CRM systems, and documentation with a high level of accuracy.
You will work closely with the agent to support day-to-day operations across sales and leasing campaigns, vendor reporting, and property management administration.
Key Responsibilities:
• Maintain and update contact records in Rex CRM
• Log enquiries, buyer interactions, and maintain accurate database records
• Generate database reports and prospect lists
• Prepare sales authorities, proposals, and appraisal documents
• Upload and manage property listings across marketing portals
• Coordinate photography, signboards, and campaign marketing schedules
• Prepare brochures and marketing collateral for sales and leasing campaigns
• Create Just Listed / Just Sold marketing content
• Assist with
• Prepare weekly vendor reports and buyer feedback summaries
• Track enquiries and maintain accurate campaign documentation
• Prepare contracts of sale with buyer and vendor details
• Send documents for execution via DocuSign
• Ensure all authorities are completed, signed, and correctly filed
• Assist with sales and lease deposit processing
• Coordinate maintenance requests and contractor quotes
• Prepare property management authorities and lease documentation
• Maintain accurate property files and compliance documentation
• Liaise with the trust accountant to ensure accounts are up to date
Qualifications:
• Proven experience as a Real Estate Administrator or Virtual Assistant
• Experience in commercial real estate (sales, leasing, or property management) is highly preferred
• Familiarity with Rex CRM or similar real estate systems
• Strong understanding of real estate processes, documentation, and compliance
• Excellent organisational skills and ability to manage multiple workflows
• High attention to detail and accuracy
• Strong written and spoken English communication skills
• Reliable, proactive, and able to work independently
