As a Delivery Associate, you'll play a central role in executing the operations that make our coaching programs run - managing participant communications, tracking program data, coordinating logistics, and ensuring every touchpoint reflects the quality our clients expect.
This role (40 hours per week) is ideal for someone who thrives in fast-paced, detail-intensive environments and takes pride in polished, client-ready work. You'll work closely with our Delivery Team to support multiple active cohorts simultaneously. You should be someone who doesn't just execute tasks - you anticipate what needs to happen next, flag issues before they escalate, and look for ways to make processes better.
Your regular working hours will be aligned to US Eastern Time (e.g., 7:00 AM - 3:00 PM ET). Additionally, from May through September 2026, you will provide coverage for a series of APAC-timezone workshops that fall during normal business hours in the Philippines.
What You'll Do:
- Manage Participant Communications: Draft, personalize, and send session-related
- Run Cohort Administration: Track attendance across active cohorts, maintain accurate records, and flag patterns (e.g., repeated absences) for follow-up. Coordinate scheduling, manage cohort Slack channels, and keep internal team members aligned on upcoming sessions and deadlines. Own the operational details that keep programs running smoothly - calendar invites, session materials distribution, coach communications, and status updates.
- Support Data Collection, Analysis, and Reporting: Help build and QA survey instruments for midpoint and endpoint data collection. Review and clean program data, identifying inconsistencies or errors before they reach client-facing materials. Support the creation of midpoint and endpoint presentations that demonstrate program impact to clients.
- Contribute to Client-Facing Materials: Support the creation and formatting of presentation decks, infographics, session guides, and participant worksheets. Ensure all materials are visually consistent, error-free, and ready for client and coach audiences.
- Provide APAC-Timezone Workshop Coverage: Provide operational support for workshops scheduled during APAC business hours (May - September 2026), including logistics coordination, real-time troubleshooting, and post-session follow-up.
- Drive Process Improvement and Automation: Identify inefficiencies in delivery workflows and propose solutions. Use AI tools (Claude, ChatGPT, NotebookLM) to improve communications quality, streamline repetitive tasks, and support data analysis. Contribute to team-wide automation efforts using platforms like Make (Integromat), Slack integrations, and other tools.
