Minimum Qualifications
Bachelor’s degree in Accounting or a related field (or equivalent practical experience)
3+ years of accounting or bookkeeping experience
Strong working knowledge of QuickBooks Online
Comfortable working remotely with cloud-based tools (QuickBooks, shared files, project systems)
Construction or job-costing experience is a plus, but not required — training will be provided
Quickbooks Online Certifications strongly preferred
Past experience working remotely in evenings as a virtual assistant preferred, not required.
Must have a reliable computer, reliable internet, backup internet, and backup power bank.
Must be willing to work nights. Regular job hours during Philippine times are 9:30 pm - 6:30 am with 1 hour unpaid lunch.
Key Responsibilities
Prepare and send client invoices and assist with tracking payments
Help track subcontractor bid requests, approved work orders, and verify subcontractor invoices
Assist with purchasing materials and supplies based on approved purchase orders
Track material orders and confirm delivery locations with the project team
Accurately record income and revenue transactions in QuickBooks
Enter all job-cost and project-related expenses so costs are tracked correctly by project
Assist with reconciling bank accounts, credit cards, and loan accounts in QuickBooks
Enter company bills into QuickBooks and support timely payment processing
Help prepare monthly financial reports, including income statements and balance sheets
Assist in creating monthly Work in Progress (WIP) reports
Run payroll software and help maintain payroll records
Track employee and virtual assistant paid time off (PTO)

First 30 Days
Complete onboarding and training on our systems, workflows, and expectations
Learn how we use QuickBooks Online for job costing and construction accounting
Begin entering bills, expenses, and income accurately with guidance
Understand how projects, purchase orders, and work orders flow through accounting
By 60 Days
Independently handle daily transaction entry and basic reconciliations
Confidently support invoicing, bill processing, and job cost tracking
Assist with month end close activities and financial reporting
Understand the structure and purpose of WIP reporting
By 90 Days
Reliably manage assigned accounting tasks with minimal supervision
Maintain accurate job cost data across multiple projects
Contribute meaningfully to monthly financial statements and WIP reports
