JOB OVERVIEW

We are a New York-based luxury event planning and design company known for highly detailed, visually driven, and ever-changing event experiences. From milestone celebrations to seasonal product launches, our work is creative, fast-paced, and constantly evolving.

We are seeking a remote assistant based in the Philippines to support operations, client documentation, and internal systems. This is a long-term role for someone who is highly organized, detail-driven, and able to take ownership of their work while supporting a creative and dynamic business.

This role requires both precision and adaptability. No two projects are exactly the same.

Core Responsibilities

HoneyBook (Primary Focus)
• Build and manage proposals, invoices, and contracts within HoneyBook (client management platform)
• Ensure all pricing, structure, and formatting are accurate and consistent
• Support the creation of detailed, client-facing documents

Operations & Organization
• Maintain schedules, event details, and internal tracking systems
• Keep Notes, files, and records organized and up to date
• Support daily operational flow

Client & Administrative Support
• Assist with client communication when needed in a polished, professional tone
• Coordinate scheduling and logistics
• Manage COIs and required documentation

Systems & Order Tracking
• Create and manage order forms (Google Forms / Sheets) for product launches
• Track orders, selections, and pickup details

Financial Coordination
• Assist with QuickBooks organization and record keeping
• Track contractor payments and maintain payroll notes
• Organize financial records for accountant and tax preparation

Requirements
• Extremely detail-oriented with a strong sense of organization
• Strong written English and professional communication skills
• Self-starter who learns quickly and takes initiative
• Able to manage multiple responsibilities with minimal oversight
• Comfortable working in a structured, high-expectation environment
• Appreciates creative work and visually driven projects

• AI tools such as ChatGPT or Claude
