JOB OVERVIEW

Company: Growing Australian Estimating Consultancy
Hours: 10 hours per week to start (during AEST business hours, set by agreement), with potential to increase

About Us
We're a growing Australian estimating and quantity surveying consultancy working with builders, contractors, and trades across residential and commercial construction. Our team is small, remote-first, and holds its work to a high standard. You'll work directly with the founder — a qualified quantity surveyor — and alongside one other estimator.

This is a genuine part-time role with a mix of estimating and administration work. We need someone who can switch between preparing a cost estimate in the morning and managing emails or updating project records in the afternoon without dropping the ball on either.

You'll review each other's work before it goes to clients, so attention to detail and the confidence to flag errors are essential.

We use AI tools within the business for administrative tasks — drafting emails, organising information, research — and encourage you to do the same where it helps your productivity. AI must not be used for estimating, takeoffs, or any work involving quantities or pricing. You are responsible for the accuracy of everything you submit.

What You'll Be Doing:
Estimating & Technical
- Quantity takeoffs from construction documentation including architectural, structural, civil, mechanical, and electrical drawings
- Preparing cost estimates, bills of quantities, and pricing documents in Excel
- Peer-reviewing estimates produced by other tea ---------- mbers and flagging errors or discrepancies
- Requesting and collating subcontractor and supplier pricing via email
- Maintaining organised project files and documentation

Administration & Communication
- Managing and responding to emails on behalf of the business
- Updating project records and task trackers
- Preparing documents, proposals, and general correspondence
- Following up with clients, subcontractors, and suppliers
- Logging time accurately against projects and maintaining task records
- General research and ad hoc tasks as needed

The balance between estimating and admin work will shift depending on workload and business needs.

Software We Use
You'll work across most of the following tools over time. We don't expect experience in all of them, but you need to be adaptable and comfortable learning new software quickly.
- Estimating & takeoff: Cubit, Dindo, Styck, CostX
- Tender management: EstimateOne
- Spreadsheets: Microsoft Excel (non-negotiable — formulas, structured workbooks, formatting)
- Project tracking: TrackingTime, Airtable
- Communication: Gmail, Outlook, Slack

What We're Looking For
Required
- A degree in quantity surveying, construction management, civil engineering, architecture, or a related field
- At least 3 years of experience in construction estimating or quantity surveying
- Ability to read and interpret all types of construction documentation
- Strong proficiency in Microsoft Excel — this is non-negotiable
- Excellent written English — you'll be drafting emails and documents on behalf of an Australian business
- Organised and able to manage multiple tasks across different areas without things slipping
- Reliable internet connection and a quiet workspace
- Available to work during Australian Eastern Standard Time (AEST) business hours
- Honest and proactive — we'd rather you ask a question than guess
- Comfortable learning new software tools with minimal hand-holding

Preferred
- Experience with Australian construction methods, terminology, or standards (strongly preferred)
- Experience with any of the estimating or takeoff tools listed above
- Experience working remotely for international clients
- Exposure to both residential and commercial project types
- Previous experience managing inboxes or calendars for someone else

What We Offer
- Consistent, ongoing part-time work with a growing company
- Hours during AEST business hours, set by agreement — with flexibility earned over time
- Variety — estimating and administration across multiple clients and project types
- Potential to increase hours and take on more responsibility as the business grows
- Clear processes, templates, and SOPs to support your work
- A founder who understands the technical work and can help you develop
- AI use is encouraged for admin tasks
- 13th month pay
- Payment via Wise in PHP

How to Apply
Please include:
1. A brief introduction — your experience, skills, and what kind of work you enjoy
2. Your resume or CV
3. An example of your work (a sample takeoff, estimate, bill of quantities, or well-structured spreadsheet — feel free to redact client details)
4. Your availability and preferred working hours
5. Which of the software tools listed above you have experience with, and your level of proficiency in each
6. Briefly describe a project where you identified and corrected an error in someone else's estimate or your own. What was the error, and how did you catch it?

Shortlisted candidates will be given a short paid trial covering a mix of estimating and admin tasks.
