We are a growing youth soccer club in New Jersey, USA with over 275 players. We are looking for a reliable and highly organized Virtual Assistant to help manage the day-to-day operations of our club.
This role is focused on operations and organization. We use automation (AI) for communication, and we have a Technical Director and marketing team in place. You will support the backend operations that keep the club running smoothly.
We are looking for someone long-term who is detail-oriented, dependable, and takes ownership of their work.

Main Responsibilities
Player Registration & Carding
• Track player registrations
• Collect required documents (birth certificates, photos, etc.)
• Upload and manage player information in carding systems
• Follow up on missing documents
Tournament Administration
• Register teams for tournaments
• Upload rosters
• Track deadlines and confirmations
• Maintain tournament records
Scheduling & Calendar
• Update training and game schedules
• Maintain master calendar
• Ensure schedules are accurate
Uniform Orders
• Track player sizes and orders
• Maintain spreadsheets
• Follow up on missing orders
• Coordinate with vendors
Onboarding (Players & Coaches)
• Track onboarding completion
• Assist with questions not handled by automation
• Maintain onboarding records
Collections Tracking
• Monitor payment status
• Track unpaid balances
• Follow up when needed
• Report issues
Organization
• Maintain Google Drive folders
• Keep spreadsheets updated and clean
• Organize club data
Event Support
• Assist with tryouts, camps, and club events
• Track registrations
• Help with logistics
Marketing Support
• Collect photos/videos from teams
• Organize media folders
• Send content to marketing team
Weekly Reporting
• Provide a simple weekly update on:
• registrations
• missing documents
• payments
• tournaments
• any issues

Requirements
• Excellent written English
• Highly organized and detail-oriented
• Experience with Google Docs and Google Sheets
• Reliable internet and computer
• Able to follow instructions and meet deadlines
• Proactive and dependable
