We are a consulting company that buys, operates, and grows small businesses — specifically companies that hold government contracts with federal agencies including the Army, GSA, and other military branches.
We are looking for a sharp, detail-oriented Virtual Assistant to manage our internal operating system built entirely in Notion. This is not a general admin role. This is a systems-focused operations position where you will be the person who keeps our deal pipeline, portfolio companies, government contract bids, broker relationships, and partner assignments running accurately every single day.
You will work directly with the CEO and will be given a full training manual and step-by-step workflow guide on day one. Your job is to follow the system, keep it current, and flag anything important to the CEO immediately.

What You Will Do Every Day:
- Open the CEO Dashboard every morning and review active deals, upcoming bids, and follow-up dates
- Update deal stages in the Acquisition Pipeline the same day anything changes
- Log all calls,
- Track government contract bid dates and flag any bids due within the week to the CEO
- Update bid statuses in the Bids Master Database (Upcoming ? Submitted ? Awarded / Lost)
- Log new acquisition targets in the GovCon Targets database and calculate their Acquisition Fit Score
- Add new broker contacts to the Broker Network and update Last Contact after every interaction
- Flag any broker not contacted in 30+ days for CEO follow-up
- Update portfolio company revenue by the 5th of every month
- Add new companies to Portfolio Companies when deals close and link all related bids
