Location: Remote, work from home aligned to Australian time. Hours: Full-time, aligned with Australian business hours (e.g., 9 AM – 5 PM AEST).
Role Overview: Our client is seeking a highly organised and proactive Sales & Marketing Assistant to provide day-to-day support to the Sales and Marketing teams. This role focuses on managing increased business volume by handling essential sales administration, maintaining CRM data integrity, and enhancing the company’s digital presence. The successful candidate will ensure that the sales team can focus on high-value conversion activities by maintaining the systems and records that drive lead generation and a consistent, high-quality client experience.
Core Accountabilities
- CRM Integrity & Data Accuracy: Maintain a "single source of truth" within the CRM, ensuring all lead and contact data is cleansed, categorized, and up-to-date to support reliable business reporting.
- Sales Process Support: Execute the administrative "back-end" of the sales cycle, ensuring proposals, agreements, and follow-ups are handled promptly so no opportunities fall through the cracks.
- Marketing Execution: Support the company’s growth by scheduling and publishing social media content and assisting with campaign tracking to feed the sales funnel.
- Client Experience & Triage: Act as a professional first point of contact for inbound inquiries, using logic and common sense to triage leads and ensure they reach the right tea
Key Responsibilities
- CRM Administration (HubSpot & Zendesk): Perform intensive data cleansing, including updating contact records from amalgamated entities and populating missing industry/segmentation fields for thousands of records.
- Lead Management: Monitor incoming leads via Zendesk and the CRM; qualify and assign leads based on established criteria and use macros for efficient follow-up.
- Sales Documentation: Prepare and send professional sales documentation, including proposals, quotes, and presentations; track their status and prompt the team for follow-ups.
- Social Media Management: Schedule and publish approved content across
- Content Assistance: Use tools like Canva to make minor updates to marketing materials and assist in the preparation of internal and external communications.
- Reporting: Track daily sales activities and marketing performance to assist in the creation of weekly and monthly management reports.
- Team Participation: Actively participate in the Monday 9:00 AM (AEST) tea
Qualifications & Experience
Must-Have Experience
- Proven Background: 4-5 years experience in a Sales Assistant, Marketing Assistant, or Virtual Assistant role, preferably supporting Australian-based businesses.
- Technical Proficiency: Advanced skills in the Microsoft 365 suite (Excel, Word, and Outlook).
- CRM Expertise: Hands-on experience with CRM systems (HubSpot and Zendesk highly regarded) with a high degree of accuracy in data entry.
- English Fluency: Exceptional written and verbal English communication skills, with the ability to draft professional
Additional Experience
- Design Tools: Familiarity with Canva for basic graphic design tasks.
- Specialized Knowledge: A basic understanding of (or a strong willingness to learn) Australian HR legislation, industry awards, and franchising business models.
- B2B Context: Experience working within a service-based or B2B environment.
