We are not looking for a GENERAL virtual assistant.
We are looking for a true TRANSACTION COORDINATOR who understands the pace, professionalism, and precision required in real estate. This is a long-term opportunity for someone who is highly organized, detail-driven, proactive, and confident managing real estate files from start to closing.
You will play a key role in keeping our transactions accurate, compliant, on schedule, and running smoothly so we can stay focused on serving clients and generating business.
*We will only consider candidates with experience previously working as Transaction Coordinator/working with contracts.
Please do not apply unless you have worked at least 2 years as a "Transaction Coordinator".
This role is ideal for someone who already has experience supporting a US real estate team or brokerage and can step into the position with minimal hand-holding.

What You’ll Be Responsible For:
Coordinating real estate transactions from signed listing or accepted offer through completion
Preparing, organizing, and managing contracts, disclosures, and transaction documents
Ensuring files are complete, accurate, and compliant
Tracking key dates including deposits, subject removals, completion, possession, and other important deadlines
Communicating with agents, clients, lawyers, conveyancers, inspectors, and cooperating agents
Uploading, organizing, and maintaining documents in Skyslope, Google Drive, and related systems
Assisting with listing paperwork and MLS-related coordination
Scheduling inspections, appointments, and transaction-related follow-up
Following checklists and systems to ensure nothing falls through the cracks
Proactively flagging missing documents, deadlines, or issues before they become problems
Required Experience
Minimum 2 years of experience in real estate transaction coordination, real estate administration, or a similar role
US real estate experience is required
Strong understanding of the US real estate transaction process
Experience handling contracts, disclosures, compliance documents, and transaction timelines
Excellent written and spoken English ( SPANISH A PLUS )
Strong organizational skills and ability to manage multiple files at once
High attention to detail and accuracy
Lead Gen:
Need to be familiar with some lead generation on
Adding leads, conversation notes, response times, and follow-up attempts into database.
Follow ups & Marketing homes to potential buyers.
Maintain the team CRM
Requirements:
Must have the ability to make phone calls and text messages to the US
High speed internet
Reliable up to date computer that can handle multitasking
Non distracting quiet work environment
Ability to personally handle multiple tasks at once.
Must be able to have a audio/video Zoo
Pay & Scheduling:
We will have you start Part Time with the opportunity to be a Full Time Employee, after careful consideration.
We will have a 2 week training/probationary period, where we will determine if you are a good fit for our company.
We pay every week on Sunday using Paypal.
You will be paid for the training and probationary period.
Base Pay can increase once qualified. Pay raises will be given frequently as the assistant shows improvement.
We will pay a Bonus if you perform certain tasks with excellence.
