The Role

You’ll own the operational “middle layer” between our internal team, wholesale customers, and our manufacturing partners. This role blends production coordination, wholesale order data management, and clear, persistent vendor communication.

What You’ll Do (Core Responsibilities)

Wholesale Order Ops + Data Ownership

Build and maintain clean, accurate wholesale order trackers (SKUs, quantities, pricing, ship windows, PO terms, addresses, notes)
Create and update data needed for wholesale fulfillment (order sheets, packing lists, carton counts, ship dates, status updates)
Coordinate internal approvals and ensure wholesale orders are production-ready
Provide proactive updates to the team on wholesale order status, risks, and next actions

Manufacturer / Factory Management
Be the primary day-to-day point of contact for manufacturers and suppliers (email/WhatsApp/calls)
Request quotes, lead times, MOQs, material options, and sampling timelines
Track sampling, revisions, approvals, and bulk production schedules
Follow up consistently to keep factories moving and unblock delays

Production & Delivery Coordination
Maintain production timelines across multiple SKUs and partners; keep ETAs current
Flag risks early (delays, quality issues, missing components) and propose solutions
Coordinate shipping plans with vendors (cartons, packing lists, handoff timing, basic incoterms alignment)

Quality + Execution Support
Organize feedback loops (photos, measurements, defect notes) and ensure factories follow specs
Track recurring issues and help implement SOPs to reduce errors over time

Qualifications
2+ years in operations, production coordination, wholesale ops, sourcing, project management, or similar jobs roles

Strong written communication and follow-through (you can get answers and drive action)

Extremely organized; you can manage multiple trackers without details slipping

Bonus: experience with overseas manufacturing, freight basics, Shopify/ERP light familiarity, or reading spec packs

Tools / Working Style

Comfortable in Google Sheets/Airtable, Slack, email, and shared drives
Able to overlap at least 5 hours/day with U.S. Eastern Time
Proactive and ownership-driven: you don’t wait—if something’s stuck, you unstick it

Compensation

Competitive and based on experience (hourly or salary). $5-10+ / hour depending on skill level
