JOB OVERVIEW

Hiring: Operations Virtual Assistant (ServiceTrade / Scheduling / Invoicing)
Remote (Philippines-Based) | Full-Time | Long-Term

We’re looking for a reliable, detail-oriented Operations Virtual Assistant to support daily operations in our service-based business.

This role goes beyond basic admin work—you’ll be helping manage workflows, keep jobs organized, and ensure everything runs smoothly day-to-day.

If you’re organized, proactive, and comfortable working with systems, this could be a great long-term opportunity.

Responsibilities:

Review completed jobs in ServiceTrade and prepare them for invoicing

Create accurate invoices (labor, parts, totals)

Schedule service jobs and manage technician calendars

Review jobs and identify required parts

Order parts and send summaries for approval

Send clear email updates for approvals and job status

Track job data and maintain organized records in Excel/spreadsheets

Assist with daily admin tasks and office paperwork

Provide general operational support as needed

Requirements:

Strong attention to detail (very important)

Experience with ServiceTrade or similar field service software

Experience with invoicing and/or bookkeeping

Strong Excel and spreadsheet skills (formulas, tracking, organization)

Comfortable working with data and reports

Strong written English communication skills

Ability to follow systems and think independently

Reliable internet and consistent availability

Bonus Skills:

Experience in Access Control, CCTV, Fire Alarm, or service trades

Familiarity with QuickBooks or similar tools

Scheduling/dispatching experience

Position Details:
