We're seeking a skilled, reliable Recruiting Assistant to join our fully remote team and support our high-volume healthcare recruitment pipeline.
Key Responsibilities:
- Source and attract qualified medical professionals using our ATS and job boards (Indeed, JazzHR, and similar platforms)
- Make outbound calls and follow-ups with applicants via phone,
- Perform initial phone screenings, evaluate candidate fit for CNA/LPN/RN roles, and log detailed notes
- Assist with credential verification (licenses, TB tests, CPR, etc.), background check coordination, and onboarding documentation per company processes
- Support skill assessment collection and review (using our structured LPN/CNA checklists focused on long-term care competencies)
- Maintain accurate, real-time records in Google Sheets, Excel, ADP, WhenIWork, Paychex, and other internal platforms
- Help manage applicant pipeline stages—from new leads to verified and facility-assigned status
- Send automated and personalized follow-ups, reminders, and status updates to keep candidates engaged

Qualifications:
- Excellent English communication skills (written and spoken—clear phone presence is essential)
- At least 1 year of experience as a recruiter, recruiting assistant, or talent acquisition support role
- Experience recruiting in healthcare (nursing, CNA, allied health) is strongly preferred
- Hands-on familiarity with job boards (Indeed, etc.) and at least one ATS platform for sourcing and tracking
- Working knowledge of tools like ADP, WhenIWork, Paychex, Google Sheets / Excel (pivot tables, filters, data entry accuracy)
- Minimum 2 years of proven remote / virtual assistant experience (graveyard shift comfort and reliability required)
- Strong multitasking, prioritization, and attention to detail—able to handle shifting priorities in a fast-paced environment
- Proactive mindset with high ownership; comfortable escalating issues and suggesting process improvements
Schedule
- Graveyard shift (US Eastern Time): Monday–Friday (some Saturday hours possible)
- Full-time (start with 30 hours/week)
