Part-Time Virtual Assistant for Outreach, Opportunities, Grants, and Tracking
Location: Remote
Hours: Part-time, approximately 10–15 hours per week to start

About Me
I’m a Los Angeles–based artist, creator, and creative entrepreneur working at the intersection of art, content, media, and culture. My work spans creative projects, brand partnerships, content creation, applications, funding opportunities, and long-term career-building across multiple lanes.
I move quickly, generate a high volume of ideas, and am focused on growing both the creative and business side of what I do. I’m looking for someone who can help support that growth by keeping outreach moving, finding strong opportunities, submitting applications, researching grants, and, most importantly, tracking everything in a clean and organized way.
About the Role
I’m looking for a sharp, proactive, highly organized part-time virtual assistant to help me generate and manage opportunities across brand outreach, creative and contract applications, auditions, artist grants, fellowships, residencies, and other aligned opportunities.
This is not a passive admin role. I am specifically looking for someone who can help create
A major part of this role is tracking. I need someone who is excellent at keeping score so we can clearly see how many opportunities are being pursued, what stage they’re in, what needs follow-up, and what is actually working. If you are someone who naturally likes creating order out of chaos, this role may be a strong fit.
Key Responsibilities
Outreach and Lead Generation
Send initial outreach to brands, collaborators, agencies, media contacts, and other aligned opportunities using my existing system
Personalize outreach templates when needed
Research and identify new contacts, opportunities, and potential partnership leads
Support outreach efforts across brand partnerships, creator opportunities, media, and other relevant channels
Opportunity Research
Proactively seek new opportunities that align with my work and goals
Research brand partnerships, creative contracts, auditions, creator programs, fellowships, residencies, grants, and open calls
Filter for strong-fit opportunities rather than sending or submitting randomly
Surface the most relevant opportunities in an organized and efficient way
Applications and Submissions
Fill out and submit applications using my saved materials, links, and information
Help with applications for contracts, jobs, creative opportunities, auditions, fellowships, grants, and other opportunities
Keep reusable materials organized, including bios, resumes, portfolio links, media kits, headshots, artist statements, and related assets
Draft first-pass responses when needed for review
Grant Research and Grant Support
Research artist grants, funding opportunities, fellowships, residencies, and public/open calls
Track deadlines, eligibility requirements, and submission materials
Help identify which grants are worth pursuing
Assist with preparing and submitting straightforward grant applications
Organize recurring grant opportunities and seasonal funding deadlines
Tracking and Pipeline Management
Maintain clear, accurate trackers for outreach, applications, grants, deadlines, submissions, responses, follow-ups, and outcomes
Keep records organized so we know what has been sent, what is pending, what needs attention, and what is moving
Help monitor volume, response rates, warm leads, and active opportunities
Create and maintain a clear scoreboard so we can measure progress and make better decisions
Follow-Up and Organization
Follow up on cold and warm leads so opportunities do not fall through the cracks
Keep notes on where conversations stand and what the next step is
Organize information so active leads can be handed off smoothly when needed
Help bring structure, consistency, and follow-through to a fast-moving workflow
Ideal Candidate
You are someone who is:
Extremely organized and detail-oriented
Strong at tracking multiple moving parts without letting things slip
A solid writer and communicator
Good at online research and information gathering
Comfortable with repetitive tasks, but smart enough to use judgment
Proactive and able to take initiative without waiting for constant instructions
Resourceful, reliable, and discreet
Comfortable working independently in a fast-moving creative environment
Bonus If You Have Experience With
Brand outreach
Grant applications or artist funding research
Creator support
Casting or audition submissions
Research-heavy assistant work
Building or maintaining trackers, CRMs, spreadsheets, or Notion systems
Working with artists, creators, entrepreneurs, or media professionals

I move fast, work across several lanes at once, and have a high volume of ideas and goals in motion. The right person for this role is someone who can bring structure to that motion.
You do not need to be overly formal, but you do need to be sharp, proactive, dependable, and good at follow-through. I’m looking for someone who can help build
