JOB OVERVIEW

This is a high-precision operations role responsible for managing patient forms, documentation accuracy, and EHR integrity.

This is NOT a general virtual assistant position.
We are looking for someone who has worked inside structured healthcare workflows and understands documentation, compliance, and process discipline.

English Requirement:
This role requires C1–C2 level English proficiency (advanced to fluent).
You must be able to:
• Communicate clearly with U.S. patients (phone and written)
• Explain insurance, scheduling, and clinical instructions confidently
• Write professional, error-free messages

Applicants with only basic or conversational English will not be considered.

CORE RESPONSIBILITIES
• Manage all patient forms (intake, consent, credit card authorization, insurance forms)
• Ensure 100% completion and accuracy before patient visits
• Upload and organize documents in EHR (Practice Fusion) and Updox
• Maintain document integrity across systems
• Track missing forms and follow up until completed (closed-loop execution)
• Support patient intake team by ensuring all documentation is ready before scheduling
• Flag incomplete or incorrect submissions immediately
• Maintain HIPAA compliance at all times

NON-NEGOTIABLE REQUIREMENTS (THIS IS YOUR FILTER)
• Direct experience with:
• Healthcare forms OR
• Medical records OR
• Insurance documentation processing
• Experience using:
• EHR systems (Practice Fusion, Athena, Epic, etc.)
• Secure messaging/document tools (Updox or similar)
• Strong attention to detail (nothing gets missed)
• Proven ability to follow structured processes and checklists
• Comfortable working in high-volume environments
