POSITION OVERVIEW
We are seeking a detail-oriented Data & Contracting Specialist to manage the backbone operations of our agency. This role is critical to keeping our agent contracting, data fulfillment, invoicing, and administrative systems running smoothly. You will support the agency’s key players by handling essential back-office functions that directly impact growth and profitability.
KEY RESPONSIBILITIES
Manage the full agent contracting lifecycle: process new agent appointments, carrier applications, certifications, and onboarding documentation.
Track and maintain contracting status for all agents across multiple carriers, ensuring timely renewals, compliance, and up-to-date records.
Execute data fulfillment processes including lead data management, list preparation, data segmentation, and delivery to marketing partners.
Manage invoicing for the team and coordinate billing with the agency’s data and marketing company partners.
Maintain and update agency databases, spreadsheets, and CRM records with accuracy and consistency.
Provide administrative support to agency leadership, including scheduling, document preparation, and task management.
Prepare reports on contracting pipeline, data delivery metrics, and financial summaries as requested.
Coordinate with carriers, marketing vendors, and internal tea
REQUIRED QUALIFICATIONS
Exceptional attention to detail and organizational skills — you thrive on accuracy and process management.
Strong computer proficiency including advanced skills in spreadsheets (Excel/Google Sheets), CRM platforms, and data management tools.
Experience with invoicing, billing, or basic bookkeeping processes.
Minimum 1–2 years of experience in an administrative, data entry, or operations support role.
Ability to manage multiple priorities and deadlines independently with minimal supervision.
Strong written communication skills for professional correspondence with carriers, vendors, and tea
Reliable high-speed internet connection and a dedicated, distraction-free workspace.
PREFERRED QUALIFICATIONS
Previous experience in health insurance agent contracting or insurance agency operations.
Familiarity with GoHighLevel (GHL) or similar CRM platforms.
Experience working with carrier contracting portals and appointment systems.
Background in data fulfillment, lead management, or marketing operations.
Experience with invoicing tools such as QuickBooks, FreshBooks, or similar platforms.
