Medical Weight Loss & Telehealth Clinic
We are seeking a highly reliable, tech-savvy Administrative Assistant / Virtual Assistant to support operations at our fast-paced virtual medical weight loss clinic.
This role is critical to keeping our CRM systems organized, patient records accurate, and internal processes running smoothly.
You will be working behind the scenes supporting the medical and coaching teams through data management, CRM organization, reporting, and patient record preparation.
If you do not have exceptional attention to detail or are not highly proficient with Google Sheets and CRM systems, this role will not be a good fit. Accuracy, organization, and consistency are essential.
Key Responsibilities
Patient & CRM Administration
Prepare and organize patient notes before coaching and medical calls
Upload and document call summaries into the CRM
Maintain clean and accurate patient records across multiple systems
Assist with patient onboarding data entry and record updates
CRM Management & System Clean-Up
Help maintain and clean GoHighLevel (GHL) and Zoho CRM
Audit patient records for missing information, duplicates, or errors
Organize data so our team can quickly access the correct information
Support ongoing CRM improvements and system organization
Reporting & Data Management
Generate and maintain internal operational reports
Update department tracking sheets and dashboards
Review reports regularly to identify inconsistencies or missing data
Administrative & Operational Support
Assist with data entry and system updates across multiple tools
Help maintain clean internal documentation and processes
Support operations with organized reporting and tracking
Required Skills & Qualifications
Detail & Accuracy
Extremely detail-oriented
Able to spot inconsistencies or errors quickly
Maintains high accuracy even when handling large amounts of data
Google Sheets / Excel
Strong proficiency required, including:
Formulas
Conditional formatting
Pivot tables
Data organization and cleanup
Managing complex spreadsheets
CRM Experience
Experience working in multiple CRM systems is strongly preferred, including:
GoHighLevel (GHL)
Zoho CRM
HubSpot, Salesforce, or similar platforms
Technical Skills
Highly comfortable working across multiple tools and systems
Quick learner with new software and workflows
Strong problem-solving ability when systems or data issues arise
Communication & Reliability
Excellent written communication
Organized and proactive
Dependable and able to meet deadlines consistently
Experience Requirement
Minimum 3 years experience working as a Virtual Assistant or Administrative Assistant
Experience supporting online businesses, telehealth clinics, or coaching companies preferred
