Job Title: NDIS Intake, Rostering & Compliance Coordinator

Position Summary
We are seeking an experienced and detail-oriented NDIS Intake, Rostering & Compliance Coordinator to support the day-to-day administrative operations of an NDIS provider. This role focuses on participant onboarding, intake, service agreements, service bookings, rostering, scheduling, inbox management, stakeholder coordination, workforce compliance, and reporting support.
The ideal candidate has 4–5 years of experience in administration or coordination, preferably within NDIS, disability services, healthcare, or community services, and can manage multiple tasks accurately in a fast-paced remote environment.
Key Responsibilities
Manage participant intake and onboarding, including referrals, forms, consent documents, record setup, and file maintenance
Prepare, update, and track service agreements and assist with service bookings
Coordinate rostering, scheduling, calendar updates, appointment changes, and service confirmations
Manage shared inboxes, respond to routine queries, and coordinate communication with participants, families, staff, and stakeholders
Maintain worker compliance records, onboarding documents, clearances, certifications, and expiry tracking
Ensure participant, workforce, scheduling, and service records are accurate and updated across internal systems
Prepare trackers, reports, and status updates related to intake, rostering, compliance, and service administration
Monitor outstanding documents, onboarding progress, scheduling gaps, and compliance issues, and follow up as needed
Support smoother operations by identifying administrative gaps and helping improve workflows, templates, and processes
Requirements
4–5 years of experience in administration, coordination, or operations support
Previous experience in NDIS, disability services, healthcare, allied health, or community services preferred
Experience with participant onboarding, rostering, scheduling, service agreements, compliance tracking, and stakeholder communication
Strong knowledge of Microsoft Office, Google Workspace, CRM systems, and cloud-based admin tools
Excellent organisation, communication, and follow-up skills
High attention to detail, confidentiality, and ability to work independently
