Remote Administrative Assistant – Operations & Marketing Support (Senior Living Company)

Our goal is to build strong systems, stay organized, and provide excellent care while growing efficiently.
Role Overview:
We are looking for a highly organized and proactive Administrative Assistant who can help manage day-to-day operations, support marketing efforts, and keep everything running smoothly across our care homes. This role is not just basic admin work. You will help organize systems, track tasks, improve processes, and support different parts of the business. You will work closely with the owner and play an important role in helping the company grow.
Key Responsibilities:
Administrative & Organization:
Organize files, documents, and folders in Google Drive
Maintain and update spreadsheets (Google Sheets)
Track daily, weekly, and monthly tasks
Follow up on pending items and ensure completion
Keep systems organized and easy to use
Operations Support:
Help manage and track care home operations
Monitor caregiver task checklists and daily logs
Ensure important tasks are completed on time
Help improve workflows and efficiency
Assist with creating and updating internal processes
Marketing Support:
Help post and manage content on:
YouTube
Facebook
Instagram
Assist with uploading videos, images, and testimonials
Help organize marketing materials and content calendar
Coordinate with video editors or content creators
Website & Content Updates
Update website content (text, photos, videos)
Upload new testimonials and media
Ensure consistency in messaging and branding
Basic AI Tools & Automation:
Use AI tools (ChatGPT, Claude, etc.) to:
Assist with writing
Improve efficiency
Help organize tasks and systems
Support simple automation using tools like Google Sheets
General Support
Assist with day-to-day tasks from the owner
Help keep everything organized and on track
Be proactive in identifying problems and suggesting solutions
Requirements:
Must-Have
Strong organizational skills
Experience with Google Sheets, Google Docs, and Google Drive
Good written and spoken English
Attention to detail
Ability to follow instructions and meet deadlines
Reliable internet and work setup
Preferred (Nice to Have)
Experience working as a Virtual Assistant
Basic understanding of social media platforms
Experience with website updates (Squarespace, WordPress, or similar)
Familiarity with AI tools like ChatGPT or Claude
Experience supporting operations or multiple projects
