We run a growing portfolio of US healthcare businesses in Connecticut — in-home companion care, remote patient monitoring, medical equipment supply, adult day programs, disability services, medical waste pickup, and patient transportation. We are expanding fast and need one reliable all-around VA to help keep everything running.

Our Philippines-based VA team is a core part of how we operate — not an afterthought. **WHAT THIS ROLE IS**

This is a generalist VA role. You will rotate across multiple functions — outreach, billing support, patient monitoring coordination, caregiver scheduling, CRM management, reporting, and admin. The owner assigns your priority tasks each morning via Slack and you report back each evening.

**YOUR DAILY TASKS (Rotated Based on Priority)**

LEAD GENERATION & OUTREACH
- Build contact lists of doctors, clinics, hospitals, dental offices, and discharge planners in Connecticut using Google and healthcare directories
- Send outbound emails and LinkedIn messages using templates provided
- Make follow-up calls to warm leads using OpenPhone VOIP (scripts provided)
- Book qualified appointments into the owner's calendar
- Update all lead activity in HubSpot CRM daily

BILLING & CLAIMS SUPPORT
- Track claim submission status and flag unpaid or denied claims
- Assist with patient eligibility checks and document prep
- Follow up with insurance payers via portal or phone on outstanding claims
- Maintain organized billing records in shared Google Drive

PATIENT MONITORING COORDINATION (RPM)
- Log in to RPM dashboard each morning and review patient vital sign alerts
- Send check-in messages or reminders to patients (scripts provided)
- Document all patient interactions in the platform for billing compliance
- Escalate any abnormal readings immediately to the supervising clinician

SCHEDULING & CAREGIVER COORDINATION
- Keep caregiver schedules updated in AxisCare scheduling software
- Confirm visits with caregivers 24 hours in advance
- Find replacement caregivers quickly when a call-out happens
- Match new clients to available caregivers based on location and availability

GENERAL OPERATIONS & ADMIN
- CRM data entry and cleanup in HubSpot
- Internet research — find contacts, verify information, compile lists
- Prepare daily and weekly summary reports in Google Sheets
- Post job ads for caregiver recruiting and do initial applicant screening
- Handle ad hoc tasks assigned by the owner each day

**YOUR DAILY ROUTINE**

Start of shift — Check Slack for owner's priority tasks. Review RPM dashboard alerts. Send daily check-in message to owner.

First half — Work on the day's #1 priority (outreach, scheduling, billing, monitoring, or admin).

Second half — Complete supporting tasks, prepare reports, finish outstanding follow-ups.

End of shift — Submit daily EOD report to owner via Slack: tasks completed, leads added, calls made, issues flagged.

**HOW WE MEASURE YOUR PERFORMANCE**

? Daily EOD report submitted to owner via Slack — every single day
? All assigned tasks completed same day unless otherwise agreed
? CRM updated same day for every interaction
? Zero missed scheduling coverage — call-outs resolved within 2 hours
? RPM patient alerts reviewed every morning by 8 AM PHT
? Owner never has to chase you for an update — you communicate proactively

**REQUIREMENTS**

- Strong written and spoken English — you will be emailing, calling, and messaging US healthcare professionals and patients
- Proficient in Google Workspace: Gmail, Google Docs, Google Sheets, Google Drive
- Organized, reliable, and self-directed — you execute without being reminded
- Responsive on Slack during work hours — messages answered within 30–60 minutes
- Reliable high-speed internet and a quiet workspace (required for calls)
- Available US Eastern Time hours — minimum 9 AM–1 PM EST Monday–Friday
- At least 1 year of VA, admin, or professional experience of any kind
- Willing to learn multiple types of tasks — this is not a single-function role

- Prior experience with any US healthcare company, medical office, or insurance billing
- Familiarity with HubSpot or any CRM
- Experience making outbound calls to US businesses or professionals
- Background in scheduling, staffing coordination, or operations
- Any exposure to Medicare, Medicaid, or health insurance terminology
- Experience with AxisCare, Brightree, or any home care or billing software

**COMPENSATION & GROWTH PATH**

- Starting: $200–$300/month for 20 hours/week (part-time)
- Full-time: $350–$400/month for 40 hours/week once promoted
- Pay date: 1st of every month via Wise — no delays, no excuses
- Raises: Performance-based as you take on more and deliver results
- Bonuses: Available for hitting key milestones
- Path: General VA ? Senior VA ? Department Lead as we expand to more states
