JOB OVERVIEW

Virtual Assistant – Operations Manager (Real Estate Media Company)

We are a growing real estate media production company looking for an experienced Operations Virtual Assistant to manage project workflow, quality control, and client communication.

This role will oversee the full media delivery process from shoot, editing, quality control, delivery to ensure every project meets our standards.

The ideal candidate has prior experience working with a real estate media company and understands how to review real estate photos, videos, tours, and floor plans before delivery.

This person will act as the central coordinator of our operations.


Responsibilities

Project Workflow Management

Manage all projects from shoot completion to final delivery.

Responsibilities include:

• Receiving uploaded shoots and Quality Checking
•Receiving photos From our AutoHDR editing system
• Assigning projects to editors when needed
• Tracking project progress
• Coordinating revisions
• Ensuring deadlines are met
Client revisions and Text messages are replied too.



Quality Control (QC)

Review all deliverables before they are sent to clients.

Deliverables include:

• Real estate photos
• Real estate video walkthroughs
• Zillow 3D tours
• Floor plans
• Complete media packages

Check for issues such as:

• Crooked or tilted photos
• Incorrect white balance
• Exposure problems
• Window pull issues
• HDR halos or artifacts
• Missing photos
• Bad object removals
• Video stabilization issues
• Bad transitions in videos
• Incorrect room labels on floor plans
• Zillow tour navigation issues

This role requires extremely high attention to detail.


AI AutoHDR Workflow Management

We use AI AutoHDR for photo editing.

The Operations VA will be responsible for:

• Receiving completed edits
• Performing quality control on AutoHDR results
• Sending revisions when necessary

Experience with AutoHDR or HDR real estate editing workflows is highly preferred.



Client Communication

Communicate with clients through:

• OpenPhone (text messaging)
Email

Responsibilities include:

• Delivering completed media
• Responding to client questions
• Handling revision requests
• Coordinating updates with editors

Professional communication is required.


Revision Management

When revisions are needed:

• Identify the issue
• Send clear revision instructions to editors or AutoHDR
• Track revisions until completed
• Confirm corrections before delivery


Minor Editing (Preferred)

Ability to make small corrections when faster than sending revisions.

Software knowledge preferred:

• Photoshop
• Lightroom

Examples:

• Exposure adjustments
• White balance corrections
• Minor object cleanup

Required Experience

Applicants must have experience working with real estate media deliverables.

Required knowledge of:

• Real estate photography
• Real estate video walkthroughs
• Zillow tours
• Floor plans
• Property media delivery workflows


Software Experience

Preferred experience with:

• AI AutoHDR
• Photoshop
• Lightroom
• Aryeo
• HDPhotoHub
• OpenPhone
• Google Drive / Dropbox


Required Skills

• Extremely high attention to detail
• Ability to identify photo and video issues quickly
• Strong organization and workflow management
• Ability to follow SOPs precisely
• Strong written English communication


Work Expectations

• Follow company SOPs
• Review projects daily
• Maintain communication with editors and clients
• Ensure projects are delivered on time and error-free


Bonus Skills (Highly Preferred)

• Experience working for a real estate photography company
• Experience using AI AutoHDR workflows
• Experience with Aryeo or HDPhotoHub
• Familiarity with real estate marketing standards


Work Hours

Part-time or possibilty to grow to full-time depending on availability.

Preference for candidates available during U.S. daytime hours.
