Role Overview:
Our client is looking for a highly organised and proactive Project Coordinator responsible for supporting the delivery of projects through disciplined administration, documentation, and coordination across all project phases. This role ensures that Project Managers can focus on high-value activities by maintaining the systems, processes, and records that keep commercial and industrial projects on track. The coordinator manages information flow, tracks actions and risks, and ensures nothing falls through the cracks from initiation to completion.
Core Accountabilities
- Scope, Time, Cost & Quality: Coordinate and maintain project scope documentation and schedules while tracking project costs, including claims and variations.
- Commercial & Business Administration: Maintain accurate oversight of the commercial position of each project, ensuring invoicing is current and escalating overdue or at-risk items promptly.

- Risk & Quality Management: Proactively identify, capture, and report risks early with suggested mitigations, while maintaining defect and quality registers through to resolution.
Key Responsibilities
- Project Coordination & Administration: Record and issue meeting minutes, maintain action registers, and follow up with responsible parties to ensure timely completion.
- Scope & Budget Management: Develop project scope statements and maintain project budgets, processing updates arising from payment claims and approved variations.
- Procurement & Commercial: Prepare and coordinate Requests for Quotation (RFQ) and Tender (RFT), and manage the - - Request for Information (RFI) process.
- Financial Administration: Administer the payment claims process, coordinate monthly invoicing in accordance with milestones, and pursue overdue payments.
- Document & Drawing Management: Manage all project drawings, including filing, version control, and mark-ups, while organizing project photography for reporting purposes.
- HSE Tracking: Administratively track the submission and approval status of Construction Management Plans and HSE communication plans.
Qualifications & Experience
MUST-HAVE Experience
- Proven 4-5 years experience in project coordination or administration specifically within commercial or industrial construction.
- Strong proficiency in the Microsoft 365 environment (Excel, Word, and Outlook).
- Experience with Bluebeam or a comparable PDF editing and markup tool for drawing coordination.
- Demonstrated ability in written communication, specifically in producing meeting minutes, status reports, and scope of works.
Additional Experience
- Experience with project management platforms (experience in MS Project, AutoCAD, Procore, or Aconex is highly regarded).
- Familiarity with payment claim administration and procurement processes (RFI, RFQ, RFT).
- Ability to create and maintain project registers, risk matrices, and schedules.
