We are in an active growth and improvement phase — rebuilding systems, optimizing operations, and building a team that runs lean and moves fast using the best tools available, including AI.

Role Overview
We are hiring two AI Operations Associates who will work hands-on across leasing, property management, communication, reporting, and process improvement. This is not a traditional admin role. We want people who reach for AI first — who know how to write a prompt, get a useful answer, and turn it into action quickly.

You will work closely with leadership to build and maintain the systems that keep Avenir running — from tracking leads and leasing workflows to automating reports and building dashboards. If you are the kind of person who sees a repetitive task and immediately starts thinking about how to automate it, this role is for you.

Key Responsibilities
AI-Powered Operations
• Use Claude, ChatGPT, or similar AI tools daily to draft communications, summarize information, research solutions, and solve operational problems quickly
• Write effective prompts to generate reports, templates, SOPs, and data summaries
• Use Claude Cowork and similar tools to automate file and task management workflows
• Identify repetitive tasks across the team and build AI-assisted solutions to reduce manual effort
• Stay current on AI tools and bring relevant new capabilities to the team's attention
Dashboards & Reporting
• Build and maintain operational dashboards in Google Sheets and/or Excel tracking leasing KPIs, occupancy, maintenance, and team activity
• Set up automated scheduled reports (e.g., AppFolio vacancy reports) and connect them to shared team views
• Translate raw data from property management software into clean, readable summaries for leadership
• Create visual trackers and progress reports across hiring, leasing, and systems workstreams
Leasing Operations Support
• Manage inbound lead inquiries across platforms (Facebook Marketplace, Zillow, etc.) and respond promptly using standardized scripts
• Phone-screen prospective tenants before committing to showings — qualify on budget, move-in timeline, and household composition
• Track leads through the full leasing funnel: inquiry ? phone screen ? tour ? application ? approval ? move-in
• Log all lead activity in AppFolio and maintain accurate occupancy data
• Support lease preparation, move-in coordination, and renewal outreach
Systems & Process Improvement
• Document current workflows (leasing, maintenance, communications) and identify gaps or bottlenecks
• Build and maintain SOPs, checklists, and process guides in ClickUp and Google Drive
• Help implement and manage task workflows in ClickUp — create tasks, set up automations, and track project progress
• Support the mapping and improvement of the end-to-end leasing process in coordination with leadership
Communication & Coordination
• Draft and send professional communications via email and Slack to residents, vendors, and prospective tenants
• Use AI tools to craft, review, and improve outgoing communications for clarity and professionalism
• Coordinate scheduling, follow-ups, and action items across tea ---------- mbers
• Support partnership outreach to referral organizations (colleges, behavioral health providers, nonprofits)

Qualifications
Required
• Demonstrated experience using AI tools (Claude, ChatGPT, Gemini, or similar) in a professional or personal capacity
• Ability to write clear, effective prompts and iterate quickly to get useful results
• Proficiency in Google Sheets or Excel — formulas, filters, basic dashboards
• Strong written communication skills — you can write a professional email from scratch without a template
• Highly organized with strong attention to detail; comfortable managing multiple tasks simultaneously
• Self-starter who identifies problems and acts without waiting to be told
• Comfortable working in a fast-paced, lean team environment with shifting priorities
Preferred
• Experience with AppFolio or similar property management software
• Experience with ClickUp, Asana, or another project/task management platform
• Familiarity with Slack as a primary communication tool
• Background in property management, real estate, or housing operations
• Experience building automations (Zapier, Make, or similar)
• Experience working at a startup, nonprofit, or mission-driven organization
• Bilingual (English/Spanish) is a plus but not required
