- Must be available to work during USA Eastern Standard Time (EST, GMT -5)
- Strong English communication skills, both spoken and written
- Fully proficient in small business accounting procedures
- Expert-level proficiency in QuickBooks (QBO certification preferred)
- Expert-level spreadsheet skills, including formulas, data analysis, and custom management reporting
- Must be highly proficient at deriving and organizing financial and operational data for management reports
- Must have experience with payroll processing
- Must have experience preparing for and handling insurance and workers compensation audits
- Experience in project management and scheduling
- Reliable phone and internet connection for daily video calls
- Tech-savvy with the ability to quickly learn new platforms and tools
- This role requires full professional focus. Applicants cannot hold multiple jobs simultaneously
- Activity and time-tracking software is used during working hours
*****Position Overview:*****
We are seeking a highly organized and detail-oriented Virtual Accounting & Operations Assistant to work closely with the business owner on a daily basis. This role involves financial management, scheduling, payroll coordination, and operational reporting. Strong attention to detail, accountability, and clear communication are essential.
*****Key Responsibilities:*****
Daily Tasks:
- Categorize expenses and allocate them to appropriate projects
- Create journal entries as needed
- Contact employees to gather data for management reports
- Prepare and update daily management reports
- Schedule and reschedule appointments via phone calls
- Process bills from contractors and vendors
- Organize and prioritize the owner's daily schedule
- Review and adjust schedules for the following day
Weekly Tasks:
- Gather employee hours and prepare payroll for review
- Obtain manager approvals for hour logs
- Prepare and process bill payments
- Review weekly scheduling updates and track progress
- Generate operational accounting reports (production metrics, labor hours, project data, etc.)
- Calculate project P/L and submit it to management
- Keep an eye on financial forecast and make suggestions
- TAKE/MAKE PHONE CALLS FROM VENDORS
