**IMPORTANT: This is a high-responsibility role for an independent professional. We are not looking for someone who needs to be trained on QuickBooks Desktop Enterprise. You must be an expert in Build Assemblies, BOMs, and E-commerce Order Entry from day one. A live technical navigation test will be required during the interview.**
We are seeking a high-level Operations & Bookkeeping Specialist to manage our bookkeeping and daily business workflow. This is a full-time role requiring expert-level proficiency in QuickBooks Desktop Enterprise. You will be responsible for maintaining our financial records while also serving as the backbone of our order processing, inventory management, and customer service.
Key Financial & Bookkeeping Responsibilities:
• Full-Cycle QBD Bookkeeping: Manage all bank/credit card reconciliations and data entry within QuickBooks Enterprise Desktop.
• Advanced Reporting: Generate monthly P&L, Balance Sheets, and custom reports to track business health.
• A/P & A/R: Manage vendor bills, schedule payments, and monitor aging receivables.
Key Operations & Inventory Responsibilities:
• Inventory Control: Accurately enter and receive Purchase Orders (POs). Manage stock levels and perform Build Assemblies within QBD to reflect accurate finished goods.
• Order Entry: Monitor the company inbox for customer orders and enter them into QuickBooks with 100% accuracy.
• Customer Service: Act as the first point of contact for the general company inbox; respond to customer inquiries, tracking requests, and service issues with a professional tone.
Technical Requirements:
• Inventory Mastery: Must understand the difference between Non-Inventory, Inventory Part, and Assembly items in QBD.
• COGS Accuracy: Ability to troubleshoot and fix discrepancies in the Inventory Valuation Summary vs. Balance Sheet.
• Workflow Logic: Experience managing the Sales Order ? Picking/Packing ? Invoicing workflow (not just jumping straight to Invoices).
• Multi-Tasking: Ability to maintain a 100% "Zero Inbox" policy for customer service while managing complex month-end closes.
Qualifications & Skills:
• Experience: 4+ years of bookkeeping, specifically using QuickBooks Desktop (Enterprise preferred). Experience with US-based e-commerce or distribution is a major plus.
• Technical Setup: Must be comfortable working via Remote Desktop (RDP) or a hosted cloud environment.
• Inventory Knowledge: Proven experience handling Assemblies/BOM (Bill of Materials) and PO workflows.
• Communication: Exceptional written English for professional customer-facing
Work Schedule & Compensation:
Rate: $7.00 - $9.00 per hour (based on experience and verified QBD Enterprise expertise).
Hours: Full-time | Remote | 9AM–5PM EST (40 hours/week).
