This role supports travel consultants in managing client bookings, itineraries, and communications. This role ensures smooth travel planning by assisting with research, booking administration, payment monitoring, and client correspondence. The position also maintains booking systems such as Tramada and Travefy while ensuring high levels of quality control and timely client communication.
Key Responsibilities
Consultant & Booking Support
Assist travel consultants in building client quotes and detailed travel itineraries.
Conduct hotel research to support itinerary development.
Assist consultants in booking client trips including flights, accommodation, and services.
Manage booking amendments and schedule changes when required.
Ensure seating on flights is allocated where possible.
Provide suppliers with additional client details when required.
Booking Management & Quality Control
Conduct booking quality control checks prior to documentation being issued to clients.
Reconfirm hotel bookings directly with hotels.
Confirm client special requests with suppliers and hotels.
Track ticketing time limits within the GDS system.
Monitor deposit deadlines and final payment due dates.
Follow up outstanding payments with clients when necessary.
Client Communication
Draft client communications on behalf of consultants.
Send booking confirmations and reminders to clients.
Send pre-travel
Conduct post-travel follow-up
Inbox & Enquiry Management
Monitor shared inboxes and allocate enquiries to consultants.
Monitor personal inboxes and assist consultants in managing incoming client requests.
System & Data Management
Collate and maintain client information ensuring Tramada is always up to date.
Manage Travefy itineraries and integration with Tramada (when linked – currently a work in progress).
Maintain and update preferred hotel spreadsheets within Travefy and Tramada.
Ensure booking data, notes, and documentation are accurate and organized within systems.

Proficiency with travel systems and booking tools
Ability to work collaboratively with consultants and suppliers
Preferred Experience
Previous experience in travel administration, travel consulting support, or travel operations
Familiarity with Tramada, Travefy, and GDS systems
Experience coordinating bookings with hotels, airlines, and travel suppliers
