What We’re Looking For:
We are currently seeking a detail-oriented and proactive Sales Enablement Specialist / Sales Virtual Assistant to support our sales team and help optimize sales admin. This role is ideal for someone who thrives behind the scenes: keeping sales teams organized, equipped, and efficient while working closely with sales, marketing, and leadership in a fast-paced B2B SaaS environment.
What You'll Do:
As a Sales Enablement Specialist / Sales Virtual Assistant, you will play a key role in supporting the sales organization by streamlining administrative processes, maintaining tools and data, and enabling sales to focus on closing deals. Your responsibilities will include:
-Sales Pipeline & CRM Support:
Maintain and update sales pipelines in HubSpot, ensuring accurate deal stages, data hygiene, and visibility. Track follow-ups, tasks, and reminders to support deal progression and sales team efficiency.
-Sales Enablement & Admin Support:
Assist sales reps with day-to-day administrative tasks such as preparing meeting agendas, organizing notes, managing calendars, and ensuring follow-ups are completed on time.
-Sales Materials & Documentation:
Support the creation, organization, and maintenance of sales collateral including pitch decks, proposals, one-pagers, case studies, and internal playbooks using tools like Google Docs, and HubSpot.
-Lead Management & Coordination:
Support inbound and outbound lead workflows by assigning leads, tracking responses, reactivating dormant leads, and coordinating with marketing to ensure smooth handoffs and follow-up execution.
-Lead Generation & Outreach Support:
Assist with outbound lead generation using ZoomInfo, LinkedIn, and Dripify by downloading and keeping records of prospect lists, executing outreach admin tasks, tracking responses, and ensuring all leads and activities are properly documented and followed up in HubSpot.
-Multi-Channel Outreach Support:
Assist with sales outreach campaigns by preparing and recording
-Event, Webinar & Campaign Support:
Assist with pre- and post-event or webinar coordination, including list preparation, outreach support, follow-up tracking, and reporting.
-Reporting & Sales Insights:
Prepare and maintain sales reports, dashboards, and summaries in HubSpot and Dropbox to help leadership track performance, pipeline health, and activity metrics.
-Sales Process Optimization:
Identify gaps or inefficiencies in sales admin workflows and proactively suggest improvements to tools, templates, and processes that enhance sales admin productivity.
What You'll Bring:
-Bachelor’s degree in Business, Marketing, Communications, or a related field (or equivalent experience).
-At least 3 years of experience in Sales Operations, Sales Enablement, Virtual Assistant, or B2B SaaS sales support roles.
-Strong interest in technology, SaaS, and AI-driven solutions.
-Highly organized, detail-oriented, and process-driven.
-Proactive self-starter with the ability to anticipate needs and take ownership.
-Excellent written and verbal communication skills.
-Comfortable working with CRM systems and productivity tools (HubSpot preferred).
-Direct experience with HubSpot CRM, ZoomInfo, LinkedIn outreach tools (including Dripify), and other sales enablement platforms
-Strong time-management skills and ability to juggle multiple priorities.
-Willing to work Mondays to Fridays, 8:00 AM to 4:30 PM Pacific Time (some flexibility may be required when supporting East Coast stakeholders).
