Position Overview
We are seeking a self-driven, detail-oriented, and tech-savvy Executive Assistance to support leadership and oversee daily operational excellence. This role blends operations, marketing, client management, and compliance oversight.
The ideal candidate thrives in systems, understands real estate workflows, leverages AI tools efficiently, and ensures every file and client interaction is handled with professionalism and precision.
Key Responsibilities:
- Executive & Team Support
- Provide high-level support to team leadership
- Oversee operational systems and workflow efficiency
- Coordinate vendors, timelines, and internal processes
- Client Management & Communication
- Oversee CRM management, database segmentation, and automation workflows
- Ensure timely follow-up and communication with buyers, sellers, and prospects
- Maintain organized client records and communication logs
- Draft and manage professional client correspondence
- Monitor transaction timelines to ensure a seamless client experience
- Transaction & File Compliance
- Maintain internal file compliance in accordance with brokerage and state requirements
- Ensure all documentation is complete, accurate, and properly stored
- Coordinate with transaction coordinators, title companies, and lenders
- Monitor deadlines, contingencies, and required disclosures
- Audit files regularly to maintain compliance standards Systems & Organization
- Maintain highly organized digital filing systems
- Improve workflows using AI, CRM automation, and productivity tools
- Identify operational inefficiencies and implement scalable solutions
Qualifications:
- Proven experience in real estate administration, operations, or similar leadership role
- Strong understanding of transaction management and compliance processes
- Experience with CRM platforms and workflow automation
- Proficiency with Microsoft Office and Google Workspace
- Experience with Canva
- Familiarity with AI tools and digital productivity systems
- Excellent written and verbal communication skills
- Exceptional attention to detail and organizational ability
- Self-motivated and comfortable working independently in a remote setting
- Professional, service-oriented mindset
