JOB OVERVIEW

Overview

PART TIME FOR NOW WILL GO TO FULL TIME SOON AND PREMIUM PAY RAISE. Minimum hours 5-10 a week. up to 15-20 very soon.

We are looking for a highly experienced Property Management Virtual Assistant who already knows how to manage rental properties using Buildium. This role is not for beginners. We need someone who understands property management operations and can confidently handle tenant communication, rent tracking, maintenance coordination, and property records inside Innago.

You will help manage and organize rental property operations so the owner can focus on acquisitions and business growth.

This role starts part time but can grow into a larger role for the right person.

Primary Responsibilities

Buildium Property Management
Manage properties, tenants, and leases inside Innago
Enter and update tenant information and lease details
Track rent payments and follow up on late payments
Send rent reminders and notices through Innago
Maintain accurate tenant records

Tenant Communication
Respond to tenant inquiries professionally
Handle routine tenant requests and questions
Communicate with tenants regarding rent, maintenance, and lease issues
Escalate serious issues when necessary

Maintenance Coordination
Receive and review maintenance requests in Innago
Coordinate with contractors or maintenance personnel
Track work orders and confirm completion
Keep detailed notes on repairs and maintenance history

Lease and Document Management
Upload leases, addendums, and tenant documents to Innago
Ensure all lease files and tenant records are properly organized
Track lease renewals and expiration dates
Assist with tenant move ins and move outs

Rent and Payment Tracking
Monitor rent collection through Innago
Follow up with tenants regarding unpaid balances
Record notes and payment updates accurately

Operational Support
Maintain organized property records
Help keep property management systems clean and updated
Assist with improving property management workflows

Requirements

Must have direct experience using Buildium
Must have previous property management experience
Strong written English communication skills
Highly organized and detail oriented
Able to manage tenant communication professionally
Comfortable handling multiple properties and tenants

Preferred Experience

Experience managing multiple rental properties
Experience coordinating maintenance vendors
Experience with tenant screening and lease preparation
Experience handling rent collection and payment follow ups

Work Schedule

Part time to start
Flexible hours depending on workload
Opportunity to grow into a larger role. WILL BE MOVING TO FULL TIME AND PAYING PREMIUM PAY FOR GOOD WORK.
