The Opportunity
- We are looking for a detail-oriented, process-driven Commercial Operations Assistant to support the commercial side of our business from the ground up.
- This is a remote, full-time VA position based in the Philippines. You will work directly inside our pricing, proposal, and contract systems — building documents, researching service partner pricing, and maintaining the commercial templates that keep our deal flow clean and consistent.
- This is not a creative role. This is not a client-facing role. This is a structured execution role for someone who takes pride in accuracy, consistency, and doing the same thing correctly every single time.
What You Will Do
- Proposal & Pricing Document Support
- Build client-facing proposals using Vantage templates
- Populate pricing documents based on scope provided by the commercial lead
- Format and version-control all proposal documents
- Ensure proposals are complete, accurate, and properly structured before submission
Contract & Template Management
- Maintain and organize the Vantage contract template library
- Update contract documents when terms or structures change
- Track contract versions and ensure the most current templates are in use
- Support document preparation for client agreements
Service Partner Pricing Research
- Research market pricing for facilities and property services across assigned categories
- Compile service partner quotes and organize for commercial review
- Maintain the service partner pricing database
- Flag pricing inconsistencies or gaps to the commercial lead
General Commercial Operations Support
- Keep the commercial file system organized and up to date
- Support deal handoff documentation between commercial and operations
- Track proposal status and follow up on outstanding items
- Complete assigned tasks on time and with a high degree of accuracy
What We Are Looking For
You are the right person for this role if you are:
- Highly detail-oriented — you notice errors before they become problems
- Process-driven — you follow systems and improve them over time
- A strong written communicator in English
- Comfortable working independently in a remote environment
- Reliable and consistent — you do what you say you will do, when you said you would do it
- Experienced with Google Workspace or Microsoft Office, particularly Docs, Sheets, and Excel
Preferred background:
- Experience supporting commercial, construction, facilities, or real estate operations
- Prior VA or remote work experience with a US-based company
- Familiarity with proposal or contract document preparation
- Experience maintaining pricing databases or research files

- Not a sales role
- Not a client-facing position
- Not a role with financial decision authority
- Not a role that requires you to create strategy or structure from scratch
- You will work inside systems that are already built. Your job is to operate them accurately and consistently.
Reporting Structure
Reports to: Commercial Lead / Office Manager
Works closely with: COO, Account Operations, Service Partner Network team
Compensation
$850 – $1,100 USD per month based on experience
