About the Role
The Minasian Law Firm is licensed in Illinois, New York, and Texas and is hiring a remote Legal Assistant to support residential real estate transactions (primarily Illinois) from contract to close. This is not a paralegal role. You will support the attorney and keep matters moving through disciplined coordination, documentation, follow-up, and deadline control.
What You Will Do
- Open and maintain matters in our case system (Smokeball)
- Coordinate with clients, agents, lenders, title companies, HOA, and opposing counsel
- Track key milestones and deadlines (attorney review, inspection, lender conditions, title issues, HOA docs, closing)
- Prepare drafts and transaction packets for attorney review (letters, checklists, standard forms, disclosures, addendums as directed)
- Organize documents, maintain file hygiene and naming conventions, and keep matter timelines up to date
- Send proactive follow-ups to prevent files from stalling
- Escalate issues with a clear summary and recommended next steps (not just questions)
Real Estate Knowledge Required (Must Have)
- Strong understanding of the residential real estate transaction flow (contract to close)
- Comfortable managing moving parts: inspection timeline, attorney review window, lender requests, HOA document retrieval, title commitment items, and closing coordination
- Able to identify what is missing and request it proactively
- Strong document and deadline discipline
What This Role Is Not
- This is not a paralegal role and does not involve giving legal advice, negotiating legal positions, or independently making legal determinations
- You will not sign legal documents on behalf of the firm

Schedule
- Target: approximately +/- 20 hours per week (variable based on volume), including client-facing and operational work
- Must overlap with Chicago business hours (US Central Time) for coordination
Contractor Terms (Important)
- Hourly independent contractor
- Weekly timesheet submission (hours must be approved)
- Starting Rate: $5.50 USD/hour during probation period of 60 days
- Regular salary negotiated based on your experience
- Opportunity for rate increases as responsibilities grow and qualifications are demonstrated.
