This role exists to protect the CEO and Operations Manager from low-leverage tasks so they can focus on:
Revenue
Growth
Strategic execution
Scaling HashStash into a household name in Cannabis Culture

If something creates friction in the business, you remove it.

You are here to create leverage.

Scope of Role
This is a dynamic, fast-moving role.
Responsibilities include, but are not limited to, the following:
This position requires flexibility, ownership, and a proactive mindset. As the business evolves, so will the scope of this role.

Core Responsibilities

1. Executive & Calendar Management
Manage complex calendars (deep work blocks, meetings, project time)
Schedule meetings intentionally and efficiently
Protect creative and revenue-generating time
Prepare meeting agendas
Take meeting notes and distribute action items
Provide a daily progress update to leadership
Ensure leadership reports are submitted before executive meetings

2. Buy Back CEO Time
Continuously audit leadership tasks
Identify what can be:
Delegated
Deleted
Automated
Systemized
Filter communication so only high-value items reach leadership
Ensure nothing falls through the cracks

3. Communication & Inbox Management
Manage email inboxes
Filter Slack and internal communications
Draft responses on behalf of leadership
Track follow-ups and action items
Maintain organized inbox systems
Ensure timely communication resolution

4. Project & Team Accountability
Manage projects inside Notion
Track deadlines and deliverables
Check in with tea ---------- mbers to ensure progress
Provide clear updates to CEO & Operations Manager
Ensure projects move forward without bottlenecks

5. Travel & Logistics
Book flights, accommodations, and itineraries
Handle schedule adjustments and changes
Create detailed travel plans
Ensure leadership is fully prepared for trips
Manage transportation coordination

6. Financial & Administrative Oversight
Track receipts and expenses
Submit reimbursements
Coordinate with finance team when needed
Ensure documentation is properly organized
Maintain structured Google Drive systems

7. eCommerce & Operations Support
Experience with or exposure to:
Shopify
Amazon Seller Central
Triple Whale
Inventory tracking
Vendor communication

Support may include:
Product uploads and listing edits
KPI reporting
Data organization
Issue escalation coordination
