Position: Real Estate Virtual Operations & Marketing Partner (US Market)
Location: Remote (Philippines)
Work Schedule: 40 hours per week, Monday – Friday. Must be available to work within 8:00 AM – 6:00 PM US Pacific Standard Time (PST), which is 12:00 AM (Midnight) – 10:00 AM Philippine Time (PHT).

Role Overview
We are seeking an elite Virtual Operations Partner to own the operational movement of our clients' real estate businesses. Your core objective is to create predictable, scalable operations by managing transaction coordination, listing management, marketing execution, and CRM integrity. You will ensure that no contingency expires unnoticed, no deadline is missed, and the agent’s time is concentrated on revenue-generating activities.
Key Responsibilities:
Transaction & Listing Control
Contract-to-Close Management: Track timelines, monitor contingencies, coordinate inspections/appraisals, and communicate with escrow to ensure seamless closings.
Listing Management: Execute pre-listing checklists, schedule photographers, coordinate staging, ensure MLS data accuracy, and set up showing instructions. Listings must be launched organized and correctly positioned.
Buyer Workflow: Coordinate offer preparation, organize disclosure packets, set up timeline calendars, and track closing checklists.
Marketing & Database Management
Marketing Execution: Support digital presence via Canva graphic design, social media scheduling, SEO/SEM strategies,
CRM Integrity: Maintain contact entry accuracy, segment databases, log transactions, create follow-up tasks, and generate pipeline reports.
Communication: Ensure all written communication is clear, structured, and timely. Proactively update clients and vendors on current status, required actions, and timeline impacts.
Daily Operational Rhythm
Start of Day: Review all active transactions, confirm deadlines within 7 days, and identify risk points.
Midday: Follow up on inspections, escrow, and lenders; update the CRM; and confirm vendor timelines.
End of Day: Document transaction progress, prepare next-day priorities, and flag any compliance or risk items.
Qualifications & Requirements
Experience: Minimum of 3+ years experience as a Real Estate Virtual Assistant, Transaction Coordinator, or Operations Manager, with a mandatory focus on the US Real Estate industry.
Language: Exceptional, highly proficient English skills. Ability to write persuasive, error-free copy and professional transaction updates for an American audience.
Technical Skills: Proven expertise in real estate CRMs, MLS platforms, and transaction management software. Strong proficiency in Canva and foundational SEO/SEM.
Systemization: Ability to build and maintain listing checklist templates, buyer workflows, vendor contact lists, and compliance tracking forms.
Work-From-Home Infrastructure Requirements
Audio Equipment: A high-quality, professional-grade noise-canceling headset is mandatory.
Internet: Access to fast, reliable fiber-optic internet (minimum 50 Mbps) AND a reliable backup internet source.
Power: Uninterruptible Power Supply (UPS) or backup generator to ensure zero downtime.
Environment: A dedicated, quiet workspace free from household distractions.
