Position Overview
The Project Coordinator is a critical support role responsible for relieving Project Managers of coordination, documentation, tracking, and field-support responsibilities so projects are executed efficiently, profitably, and professionally.

Key Responsibilities & Tasks
Project Setup
Prepare job folders upon contract award and ensure all documents are properly organized in Google Drive.
Coordinate and distribute startup documentation, including:
Certificates of Insurance (including additional insured)
Business licenses
Joint Check Agreements
Team Introduction Letters
Communicate with material vendors (e.g., Platt) to establish job accounts.
Assist Project Managers with job costing worksheets and ensure Accounting loads projects into QuickBooks.
Prepare Statements of Values and load them into Google Sheets and Contractor Foreman.
Address and track all required submittals.
Tracking & Documentation
Track schedules and coordinate all active work.
Track daily site reports and store them in the appropriate folders.
Track site photos and organize albums by job phase and date.
Receive incoming job-related
Update each job’s status line weekly.
Generate a Weekly Job Team Talk (WJTT) Google Doc for every active job, serving as the official weekly update.
Weekly Job Team Talks (WJTT)
Prepare, distribute, and track WJTTs for every job, every week.
Ensure WJTTs clearly communicate:
Job progress
Schedule status
Labor hours and production
Material status and deliveries
Risks, constraints, and next steps
Coordinate WJTTs with jobsite Leads and GC on-site supervisors as required.
Store all WJTT documentation in Google Drive per Team RRE standards.
Contractor Foreman Tasks
Load jobs into Contractor Foreman, including plans, documents, and communications.
Ensure Daily Logs are completed and tracked.
Load new field tea
Support onboarding by ensuring field tea
Keep Contractor Foreman clean and current as jobs close out.
Ensure end-of-month job inspections and percentage-of-completion updates are completed and posted.
Field Support, Materials & Equipment
Order and coordinate materials and equipment per approved job budgets.
Track material deliveries and equipment usage to support field productivity.
Monitor equipment rentals and usage to minimize unnecessary costs.
Assist Purchasing with large material orders, equipment vendors, pricing, approvals, and follow-ups.
Coordinate lodging and per diem requirements for field tea
Assist with weekly mileage tracking and verification for payroll.
Receive and reconcile tooling lists; track missing tools, ladders, and equipment.
Change Orders & Financial Support
Prepare change orders for:
Time & Material work
Scope changes or additions
Overtime work
Equipment-driven requirements
Assist with retainage tracking, invoicing, collections, and Schedule of Values.
Prepare monthly progress billings (manager approval required).
Receive, review, and process payment applications.
Log and track all change orders from initiation through invoicing.

Education & Experience
Construction or electrical industry experience preferred; formal education not required.
