We’re building a culture of clarity, excellence, and high performance — and we’re looking for a detail-driven Accounts & Admin Coordinator who can support finance operations, recruitment, and general business administration.
This role suits someone organised, proactive, and comfortable handling a mix of accounts admin, hiring coordination, and operational tasks.
ABOUT THE ROLE
This is a hybrid support role combining bookkeeping assistance, recruitment coordination, and general administrative work across multiple businesses.
You’ll work closely with leadership to keep operations running smoothly — ensuring financial records stay organised, recruitment pipelines move forward, and day-to-day admin tasks are handled efficiently.
The role is remote, but applicants must live within one hour of Manila or Quezon City in case occasional in-person collaboration is required.
CORE RESPONSIBILITIES
Accounts & Finance Admin
Upload and process bills/receipts using Dext
Categorise and reconcile transactions in Xero
Assist with reconciliation of platforms such as:
PayPal
Stripe
Shopify
Wise
Bank accounts
Apply correct GST treatment for Australian and international suppliers
Track subscriptions, reimbursements, and recurring expenses
Maintain organised financial folders and documentation
Prepare simple weekly financial summaries or reports
Flag discrepancies or missing records
Recruitment Coordination
Post job listings across recruitment platforms
Screen candidates and shortlist based on criteria
Schedule interviews with leadership
Coordinate hiring pipelines and candidate communications
Maintain organised hiring records and notes
Assist with onboarding documentation for new hires
General Administration
Maintain organised digital folders and documentation
Assist with research, operational tasks, and internal projects
Coordinate simple reporting or summaries
Support leadership with ad-hoc operational requests
Use AI tools to assist with research, summaries, or documentation where helpful
REQUIRED SKILLS
2+ years experience in admin, bookkeeping, recruitment coordination, or operations support
Experience with Xero or similar accounting software
Experience with Dext
Excellent written and spoken English
Strong organisation and attention to detail
Comfortable managing multiple tasks across finance and operations
Ability to work independently and solve problems proactively
Reliable internet connection and professional remote work setup
NICE TO HAVE
Experience supporting Australian businesses
Experience with Shopify, Stripe, PayPal bookkeeping
Recruitment coordination or HR administration experience
Intermediate Excel or Google Sheets
Familiarity with Wise, Airwallex, or multi-currency payments
Comfortable using AI tools to improve efficiency
