The Role
You are the Head of Operations. You own the day-to-day execution of the agency while the founder focuses on growth, partnerships, and strategy.
Infrastructure & Systems
You'll build and manage the full operational backbone of the agency inside GoHighLevel — sub-accounts, pipelines, automations, workflows, funnels, landing pages, AI voice agents, conversation bots, appointment calendars,
Client Acquisition & Fulfillment
You'll ensure client acquisition systems are running and optimized — ad campaigns on Meta and Google, cold
AI Implementation
A core part of this role is integrating AI across the business. We use AI voice agents that call leads within 60 seconds, AI chatbots that qualify via SMS, and AI tools for content, reporting, and internal operations. You don't need to be an AI engineer, but you need to understand what's possible and either implement it yourself or hire the right specialist to build it. Tools in our ecosystem include Claude, GoHighLevel AI Employee, Vapi, and Make/Zapier.
Hiring & Team Building
As we scale, you'll identify skill gaps and hire to fill them — whether that's a closer, media buyer, VA, or automation specialist. You source, vet, and onboard. You don't wait to be told what's needed — you see the gap and address it.
Communication & Accountability
We do daily check-ins (async or live) and a weekly strategy call. Between those, you operate with full autonomy. You over-communicate rather than under-communicate. You flag issues early and come with solutions, not just problems.

You have real experience working inside agencies — not as a freelancer doing one task, but as someone who understands how an agency runs end-to-end: acquisition, onboarding, fulfillment, retention, and scaling.
You are fast. Not "I'll get to it tomorrow" fast - same-day, same-hour fast. When something needs to happen, you make it happen now. You're highly available, responsive, and flexible. You don't disappear for 6 hours without a word. You're the person who sees a Slack message and acts on it, not the person who "circles back."
The founder moves quickly, you need to match that pace and thrive in it, not resent it.
You are revenue-focused. Every decision you make is filtered through whether it generates or protects revenue. You prioritize ruthlessly and don't get lost in busy work.
You are a builder. You thrive when there's a working foundation that needs to be systematized and scaled. You don't need hand-holding — you need a direction and the autonomy to execute.
You are resourceful. When you hit a wall, you find a way around it. When you don't have a skill, you hire someone who does. You make progress, not excuses.
You understand that AI is a real operational advantage, not a trend. You're either already using AI tools in your work or you're deeply motivated to integrate them into everything you touch.

Required Experience
- GoHighLevel: Expert-level. You've built agency accounts, sub-accounts, pipelines, workflows, funnels, and automations. Non-negotiable.
- Paid advertising: Hands-on experience managing Meta Ads and/or Google Ads campaigns.
- Agency operations: You've worked inside a digital marketing, lead gen, or growth agency and understand the full client lifecycle.
- AI tools and automation: Working knowledge of AI assistants (Claude, ChatGPT), automation platforms (Make, Zapier), and willingness to implement AI voice and chat tools.
- Cold outreach: Experience with cold
- Project management: Proficiency with CRMs, Hubspot, ClickUp, Asana, or similar. You document everything.
- Hiring: You've sourced, vetted, and onboarded freelancers, VAs, or tea
- Communication: Fluent English, written and verbal.
