We are looking for a tech-savvy, proactive, and highly driven Virtual Assistant to support our Head of Recruitment and his team in a full-time remote role.
This position is open to applicants who are fast learners, take ownership of their work, and are hungry to contribute to a fast-growing global company. Our company is an online business in the female sales coaching and training space based in Australia and USA. We are scaling rapidly and building world-class recruitment systems to match. We value precision, initiative, and accountability — and we're looking for someone who brings all three to the table every single day.
YOUR ROLE WILL INVOLVE:
- Supporting our Recruitment VA and Recruitment Manager with day-to-day data entry, tracking, and pipeline management across our recruitment operations.
- Managing and maintaining recruitment spreadsheets, databases, and candidate records with a high level of accuracy.
- Researching and evaluating tech tools and software to help us improve and automate our current manual processes — we're actively looking for smarter ways to do things and want your input.
- Handling general administrative tasks across the recruitment function, including document preparation, scheduling support, and internal communications.
- Assisting with visual assets for recruitment as needed — job ads, candidate-facing materials, and other creative outputs.
- Proactively identifying gaps in our current systems and suggesting improvements without being asked.
- Working closely with the team to help build and document processes as we scale.
MUST-HAVE QUALITIES

** TECH-SAVVY WITH A SYSTEMS MINDSET.
You know your way around the latest apps and software. You can hold your own in a conversation about automation, workflow tools, and process improvement. We're currently evaluating tools like
** HIGHLY PROFICIENT IN GSUITE.
Google Sheets, Docs, Drive, Gmail — you use these daily and don't need to be shown how. You can build clean, functional spreadsheets and manage data without hand-holding.
** PROACTIVE AND SELF-DIRECTED.
You don't wait to be told what to do next. You spot what needs fixing and fix it. You take ownership of your work and care deeply about doing it properly. Micro-management is not something we have time for — and not something you should need.
** FAST LEARNER WITH GRIT.
You pick things up quickly, push through challenges, and deliver. You're not looking for a comfortable job — you're looking for a role where you can grow, contribute, and prove yourself.
** STRONG COMMUNICATION SKILLS.
Clear, professional, and concise — in writing and verbally. You'll be working closely with our Recruitment Manager and VA, and strong English skills are non-negotiable.
** ORGANISED AND HIGHLY RESPONSIBLE.
You can juggle multiple tasks, meet deadlines, and handle sensitive company information with discretion. Nothing falls through the cracks on your watch.
** RELIABLE SETUP.
You must have your own secure computer/laptop, a reliable internet connection, and a distraction-free workstation. Confidentiality and data security are critical in this role.
** FULL DEDICATION — NO SIDE GIGS.

SKILLS REQUIRED / PREFERRED:
- Google Sheets, Google Suite, Gmail, Google Docs — Required
- Data entry, tracking, and database management — Required
- Familiarity with project management tools (e.g.
- Familiarity with Slack — Preferred
- Basic visual editing or graphic design skills (Canva, Adobe, etc.) — A strong bonus
- Experience working in an online business or coaching environment — Preferred
- Experience in recruitment or HR admin — Preferred, not essential
WORKING HOURS:
Monday to Friday, 8am to 5pm Australian Sydney time (with a one-hour lunch break), totalling 40 hours per week. This may be subject to change.
