We are a premium lash and brow salon in the Dallas-Fort Worth area looking for a sharp, personable Virtual Front Desk Coordinator to be the first point of contact for our guests — from a screen, not a counter. You’ll greet clients via live video, manage bookings, handle check-ins and checkouts, follow up on leads, and keep the front-of-house running smoothly — all remotely. This is not a passive monitoring role. You are the face and voice of our salon. You’ll be on-camera greeting every guest who walks through the door, answering phone calls, and proactively reaching out to prospective and lapsed clients. What You’ll Do
Live Guest Experience (During Salon Hours)
• Greet every guest via live video screen as they enter the salon — warm, professional, by name when possible
• Check clients in and out through Mindbody, confirm services, and process payments
• Prebook next appointments before the client leaves, maximizing retention
• Answer incoming phone calls, respond to inquiries, and route messages to stylists
• Monitor the lobby and alert stylists when their next client has arrived
• Handle walk-in inquiries and membership questions with confidence
Lead Management & Outreach (During + Off-Hours)
• Respond to new leads (web inquiries, social media, Google Ads) within 1 hour during business hours
• Follow up with prospective clients via text,
• Reactivate lapsed members (60+ days since last visit) with personalized outreach
• Contact no-shows and late cancellations to rebook
• Send appointment reminders and pre-visit confirmations
Membership & Revenue Support
• Explain membership benefits to new and prospective clients
• Track upcoming membership renewals and proactively follow up
• Request Google reviews from clients after their visit
• Support retail product recommendations at checkout when appropriate
Administrative
• Maintain accurate client records in Mindbody
• Flag scheduling conflicts, double-bookings, or coverage gaps to the owner
• Track daily check-in/checkout completion and report any discrepancies
• Assist with light social media tasks (posting, responding to DMs) if needed
Requirements
Must Have
• Excellent spoken and written English — neutral accent preferred; you’ll be on video with US-based clients
• Reliable high-speed internet (minimum 25 Mbps) and backup connectivity plan
• Professional home setup: quiet environment, good lighting, clean background
• HD webcam, quality headset with microphone, and a computer capable of running video + Mindbody simultaneously
• Experience with appointment scheduling or salon/spa/clinic front desk operations
• Strong proficiency with cloud-based software (CRM, booking systems, Google Workspace)
• Available to work US Central Time hours (salon typically operates 9 AM – 7 PM CT)
• High attention to detail, especially around client names, preferences, and appointment accuracy
Nice to Have
• Experience with Mindbody, Vagaro, Booker, or similar salon management software
• Background in beauty, wellness, or hospitality industry
• Experience with lead follow-up, outbound calling, or appointment setting
• Familiarity with membership-based businesses and recurring revenue models
• Basic knowledge of lash extensions, brow services, and beauty terminology
Data Privacy & Confidentiality
You will have access to client personal information, appointment history, and payment systems. This role requires:
• Signing a confidentiality and data handling agreement before starting
• Accessing client data only through authorized salon systems (Mindbody) — no downloading, copying, or storing client information on personal devices
• Strict adherence to role-based access permissions (you will not have access to full payment card numbers or financial reports)
• Immediate reporting of any data concerns or security issues to the salon owner
