The Opportunity:
You will be the financial backbone of a rapidly scaling digital coaching business doing $250k/month in revenue. This is not a traditional bookkeeping role. You will have full discretion over financial operations, direct access to the CEO, and the opportunity to build systems that directly impact profitability and growth.
As we scale from $250k to $500k to $1M+/month, your role will evolve. You will own the financial strategy, not just execute transactions. You will identify inefficiencies, recommend improvements, and see your recommendations implemented immediately. You will have a seat at the table in strategic decisions about hiring, spending, and growth initiatives.
This is a 40-hour-per-week remote position with a CEO who values direct communication, respects autonomy, and rewards ownership. There is no micromanagement, no unnecessary meetings, and no bureaucracy. You will be judged on results and integrity, not hours logged.
What You'll Own:
**Financial Operations & Integrity**
You are responsible for ensuring that every dollar is accounted for and properly categorized. This means daily reconciliation of payment processors (Stripe, PayPal, etc.) with QuickBooks, ensuring that outstanding customer payments are tracked accurately, and maintaining an audit trail that would withstand IRS scrutiny. You will generate monthly financial reports that show the CEO exactly what's working and what isn't.
**Multi-Entity Financial Management**
The company operates through multiple legal entities with a holding company structure. You will manage separate financial records for each entity while ensuring proper consolidation and reporting. You will structure intercompany transactions efficiently, coordinate with the US-based CPA on tax strategy, and ensure that the financial structure supports growth without creating tax liabilities.
**Strategic Financial Insights**
You will not just record transactions; you will analyze them. You will identify trends, flag anomalies, and ask the questions that matter: Is customer acquisition cost rising? Are we collecting payments on time? Where is money leaking? You will present these insights to the CEO with data and recommendations, not opinions.
**Marketing Data Integration**
You will be trained to track and understand marketing performance metrics including VSL completion rates, Typeform drop-off rates, and conversion funnel data. You will connect these metrics to revenue and customer acquisition costs, giving the CEO a complete picture of business health. You will coordinate with the media buyer to ensure that ad spend is reconciled to actual revenue.
Why This Role Is Different:
**Growth Opportunity: As the company scales, your role scales with it. You will evolve from managing $250k/month in revenue to managing $500k, $1M, or more. You will build systems that support rapid scaling without losing financial integrity.
**Autonomy & Discretion: You will have full discretion over how you organize financial operations. You will make decisions about tools, processes, and systems without asking permission. The CEO will trust your judgment and support your recommendations.
**Direct Impact: Your work directly impacts profitability. When you identify a $10k/month leak in customer payments, you fix it. When you optimize the financial structure to save on taxes, the company benefits immediately. You will see the results of your work in real time.
**No Bureaucracy: There are no unnecessary approvals, no committee meetings, no politics. You will work directly with the CEO and operations team. Decisions are made quickly, and you have the authority to implement them.
**Learning & Development: You will work with a US-based CPA on complex tax and financial strategy. You will manage multiple legal entities and international assets. You will learn advanced financial operations that most bookkeepers never experience. This is a credential-building role.
Requirements
**Core Competencies**
You must have expert proficiency in QuickBooks Online, including bank reconciliation, expense categorization, and financial reporting. Strong experience with payment processor reconciliation (Stripe, PayPal, etc.) is essential. Advanced Excel or Google Sheets skills are required for financial modeling and data analysis.
You must have a minimum of 3 years of hands-on bookkeeping or accounting experience, preferably in digital marketing, coaching, or e-commerce. A CPA designation (Philippines or US) is highly preferred, but an experienced, certified bookkeeper is the minimum requirement. A Bachelor's degree in Accounting, Finance, or a related field is expected.
**Mindset & Work Style**
You must be proactive and autonomous. You identify problems before they are brought to your attention. You know what "good" looks like and maintain high standards without requiring constant direction. You ask clarifying questions, take initiative, and figure things out on your own.
You must be objective and direct. You present data without unsolicited opinions. You are prepared to cite sources and specific findings. You are ready to stand behind all statements as if presenting to a magistrate.
You must have integrity. You will respectfully push back when asked to do something that violates accounting principles. You will say "no" to protect financial accuracy, even when it's uncomfortable. You understand that financial integrity is non-negotiable.
You must be a quick learner who can master new tools independently. You will learn our CRM, payment processors, and marketing metrics without extensive hand-holding. You are comfortable asking clarifying questions while taking initiative to figure things out.
Compensation & Schedule:
Salary: $1,300 - $2,200 USD per month, commensurate with experience (CPA vs. experienced Bookkeeper)
