About the Role
We're seeking a detail-oriented Virtual Assistant to support our U.S.-based IT service provider operations. This is a part-time position starting at 20 hours per week (4 hours per day, Monday-Friday), with strong potential to transition to full-time as the business grows. This is a non-technical role focused on administrative support, client communication, and operational tasks. While you won't be performing technical IT work, familiarity with technology and basic IT terminology will help you succeed in this position.
Key Responsibilities
Administrative Support
• Manage calendars, schedule appointments, and coordinate meetings
• Handle
• Prepare reports (Word/Excel), presentations (PowerPoint), and documentation
• Organize and maintain digital files and records
• Process invoices, purchase orders, and expense reports
Client Support
• Serve as first point of contact for client inquiries (non-technical)
• Log and track support tickets in our ticketing system
• Follow up with clients on project updates and service requests
• Coordinate onboarding processes for new clients
• Send service reminders and follow-up communications
Operations Support
• Assist with vendor coordination and procurement
• Help maintain documentation and standard operating procedures
• Track project milestones and deadlines
• Coordinate with technical tea
• Support marketing efforts (social media, newsletters, content scheduling)
Required Qualifications
• 1+ years of virtual assistant or administrative experience (international/U.S. clients preferred)
• Excellent English proficiency - both written and spoken
• Strong organizational and time management abilities
• Able to work consistently during 9:00 AM - 1:00 PM Central Time (10:00 PM - 2:00 AM Philippine Time)
• Proficiency with Microsoft Office Suite and Google Workspace
• Comfortable using project management tools (e.g., Asana,
• Self-motivated with ability to work independently
• Reliable, working computer with minimum specifications:
- Processor: Intel i3 or equivalent (or better)
- RAM: 8GB minimum
- Stable high-speed internet connection (minimum 10 Mbps)
- Dedicated, quiet workspace
Preferred Qualifications
• Previous experience supporting U.S. or international clients
• Experience in an MSP, IT company, or tech environment
• Familiarity with IT terminology and basic concepts
• Experience with PSA tools (SyncroPSA, Autotask, HaloPSA, etc.)
• Knowledge of CRM systems (High Level)
• Basic understanding of IT service workflows and ticketing systems
• Experience with documentation platforms (e.g., IT Glue, Hudu)
