About the Role
We are looking for a proactive, highly organised Virtual Assistant to be the backbone of our administrative operations. You will be the first point of contact for our customers and the primary support for our Branch Manager and on-site technicians. This role is perfect for someone who thrives in a fast-paced "tradie" environment and loves turning enquiries into scheduled jobs.
Key Responsibilities
Customer Communication: Answering incoming phone calls and making outbound follow-up calls to residential and commercial clients.
Quoting & Invoicing: Preparing accurate service quotes based on job specs and sending them promptly to potential customers.
Scheduling: Coordinating the daily and weekly calendars for our technicians, ensuring travel time and job duration are optimised.
Social Media Management: Monitoring and responding to messages on our
Reporting: Preparing weekly operational reports for the Branch Manager to track job completion and lead conversion.
General Admin: Supporting the team with database entry, document formatting, and other ad-hoc administrative tasks.
Required Skills & Experience
English Proficiency: Must have native-level or C2 level English (written and verbal) with a clear, professional phone manner.
Experience: 2+ years of experience as a Virtual Assistant or in a similar office management role, preferably within the trade or service industry.
Tech Savvy: Proficiency in Google Workspace (Sheets, Calendar) and familiarity with job management software (e.g., Fergus, ServiceM8) or CRM tools.
Communication: Ability to handle difficult enquiries with empathy and professional problem-solving.
Reliability: A dedicated home office setup with high-speed internet and a quiet environment for taking professional calls.
