We are growing and need a HR Virtual Assistant / Interview Coordinator who can own day-to-day recruiting and HR coordination so leadership can focus on strategy and delivery.

About the Role
You will manage candidate pipelines, run structured initial interviews, coordinate with hiring managers, and help build HR processes that are consistent and data-informed. You’ll be responsible for ensuring that candidates have a smooth experience and that our internal team always knows exactly where each candidate is in the process.
You will work closely with leadership and collaborate with different divisions (AI automation, digital services, and internal operations) as we continue to grow our team.
Key Responsibilities
You will be responsible for:
- Posting and updating job listings on OnlineJobs.ph and other platforms
- Sourcing and shortlisting candidates based on clear role scorecards and criteria
- Reviewing resumes and screening answers for fit and red flags
- Conducting 15–20 minute initial screening interviews via Zoom/Google Meet using our scripts
- Taking structured notes and scoring candidates against predefined scorecards
- Coordinating interviews with hiring managers and internal stakeholders
- Managing calendars, sending invites, and following up with reminders
- Keeping an organized candidate pipeline in our tracking system (ATS/Sheets/Notion)
- Sending timely updates to candidates (next steps, rejections, follow-ups) using templates
- Assisting with offer coordination and pre-onboarding communication
- Supporting onboarding checklists: document collection, first-day schedule, system access coordination
- Helping maintain and improve HR SOPs, templates, and internal hiring documentation
Tools & Workflow
You may work with tools such as:
- Google Workspace (Docs, Sheets, Calendar, Gmail)
- Zoom / Google Meet
- Scheduling tools (e.g., Calendly or similar)
- Internal tracking tools (Notion, Airtable, or spreadsheets)
- Slack (or similar) for internal communication
- Applicant tracking / HR dashboards as we implement them
We value people who can follow existing SOPs and also propose workflow improvements as they learn the systems.
What We’re Looking For
We’re looking for someone who:
- Has 2+ years of experience in HR, recruitment, or as a VA handling hiring/interview coordination
- Is confident speaking with candidates on calls and video, and represents the company well
- Has excellent written and spoken English
- Is highly detail-oriented, consistent, and process-driven
- Can manage multiple roles and candidates in parallel without dropping details
- Is organized, deadline-driven, and comfortable working with minimal micromanagement
- Communicates clearly and professionally in remote, asynchronous environments
- Is comfortable working with US-based businesses and time zones
Nice to Have
- Experience hiring for remote roles in tech, digital services, or startups
- Experience using an ATS or structured recruitment tracking tools
- Familiarity with basic HR concepts (onboarding, probation, simple policies)
Compensation (PECP-style Model)
We use a performance- and completion-aware structure similar in spirit to PECP:
- Competitive monthly salary ranging from $400 to $700 in PHP, aligned with experience and capability
- Payout on a regular, predictable schedule
- Performance-based bonuses available based on:
- Speed and quality of hiring pipeline management
- Candidate experience and communication quality
- Accuracy, organization, and completeness of records
- Process improvements and documentation you introduce
High performers may be eligible for:
- Compensation increases
- Expanded HR responsibilities (policy support, people operations projects)
